GUIDELINE De g of Purpose: Why does the team exist? What is the team expected to do? Results: How will we know when the team is successful? What specific outcome or deliverable will we achieve? Communication: How will the team communicate and store files? Roles and Responsibilities: What will team members do to ensure success? Decision Making: What decisions will the team make, and how will we make them? Conflict Management: How will the team manage through conflict? EXAMPLE Our purpose is to identify ways to improve workstation ergonomics for headquarters staff. We'll produce a report with specific recommendations based on employee feedback. The report will include products, a realistic budget, metrics, and an implementation plan. We'll identify specific criteria for evaluating our success. We'll use Slack as our primary communication tool and for storing files. Zoom will be the default for meetings, and we'll meet every Thursday for a half-hour at 3 p.m. EST for check-ins. Otherwise, we'll use our group text. Expected turnaround times are 6 hours for Slack messages and 2 hours for texts. We'll avoid sending messages after 10 p.m. EST. Ava, Leader: Serves as liaison with senior management, facilitates meetings, and oversees work output. Cecilia, Organizer: Schedules meetings and manages the project plan. Charlie, Document Manager: Keeps Slack updated, takes meeting minutes, maintains documentation. Manoj, Communicator: Drafts messages to employees and management, including the final report. We'll decide everything related to the internal work and communication that's within our given budget. If we need to go outside the organization for information, or if we're getting close to the budget, we'll escalate the decision. We'll strive for a consensus, but Ava will make final decisions when we get stuck. After talking through our past team experiences, we decided to address issues directly with each other as they occur - no delaying and no complaining to other people. We'll do our best to not get defensive if someone addresses an issue with us or gives us constructive feedback. If someone needs help or will miss a deadline, we need to know in advance and that person will offer some solutions.
