You are a Catering Sales Manager at The Grand Hotel (100 Front Street, Toronto ON, M4V 4V2, 416-324-7263). Aside from planning and managing catered events, you are also required to respond to catering inquiries.
You have received a catering inquiry for a 25th year company anniversary dinner on December 15, 2023. The contact is Jay Pritchett, President (contact number +1-416-987-6543, J..t@pritchettclosets.com) who works for Pritchett Closets. The address of the company is 8 Front Street, Toronto, ON M5V 0S8. This event is for 75 Guests (VIP clients and the company's Executive Staff). The name of the event is Pritchett Closets Anniversary Dinner.
Jay will be deciding where to hold/book the event, but once the location has been decided/selected the planning and onsite contact will be Gloria Delgado, Executive Assistant (contact number 1-416-321-7654, G..o@pritchettclosets.com).
Jay is requesting a three course sit down dinner. Dinner will start at 7:30PM and will last for 2 hours. The three courses include appetizer (salad), main course (fish) and plated dessert (your choice of dessert). The planner has a good budget and has requested Californian red and Californian white wines throughout the event with premium bar.
Dancing will follow dinner and a dance floor is requested in the room with a table for the DJ near the dance floor and 3 x cocktail tables on the dance floor. The centre piece for the dinner tables should be flowers (1 x per each table). The hotel's AV team is required to provide gobo lights and a microphone for speeches. The client would like to post the name of the event on the hotel's reader boards in the lobby.
Based on the inquiry details, you determine that the Grand Ballroom, which is 2,000 sq ft is the best option for this inquiry. The room rental is $1,200 and a deposit of $5,000 is required. All payments should be paid by credit card.
--- Instructions ---
Reply to this inquiry by preparing a BEO and Floor Plan for the client to review. Ensure that you provide details on the BEO and Floor Plan that will encourage the client to secure the booking at your hotel.
BEO: Using the BEO template providedto you (see the assignment link) enter in all the details provided to you by the client, along with your suggestions for the menu, centerpiece, and any other aspects of the event. Get creative and ensure that you fill in any details required for the BEO to persuade this client to book the event at your hotel. Do not createyour own BEO template.You must use the one provided to you which is a Word Document. (25 marks)
HINT: Make sure you include NAMES of the menu dishes. For example, the first course is salad, you should have to name the dish. Same for wines, Full wine names please. Example Wayne Gretzky Estates, Cabernet Merlot.
PRICING: You are required to show the pricing for items on your BEO. You will not be graded on the accuracy of your pricing. For example, it a bottle of wine is listed as $25.00 but in reality, it should be $50.00, you will not have points deducted for this error. You will however loose points if you do not show a price for the items.
Floor plan:Createaa floor plan showing your suggested layout for the event. Ensure you show the suggested sizes of items (like the dance floor, tables, etc) as well as the logical placement of the items on the floor plan. Make sure to label items as best as possible so that the client can easily understand the floor plan.
You can use the diagram software provided by the Week 6 Lesson Folder or you can also use you own software tool as long as it looks professional. NO HANDWRITTEN notes and NO HANDWRITTEN SKETCHES will be accepted. (25 marks)
HINT: If the item is shown on the Floor Plan, make sure it is noted on the BEO. Look back on our previous lessons for help on appropriate sizes of items.
