Red Wedding Event Planners April 21, 2023 1 The job fair The students of Castamere School of Business (CSB), a leading business school, is planning to organize a a job fair in early July. The job fair will have job-aspirants and students from multiple b-schools across the geography and is expected to have enthusiastic participation from employers from different industries offering jobs across the world. They student council is planning to rope in a professional event management agency for organizing the event, as the event is expected to be one of the largest job fairs in the recent past. Organizing the event is specifically more challenging as the job fair is just going to be a one-day event. 2 The planners Red Wedding Event Planners (RWEP) is an up-and-coming professional event management company. They started off by managing small scale projects like weddings, but have really grown in size and scope due to the untiring work by its founder, Walder Frey. They are extremely systematic when it comes to management of their project and took pride in delivering quality projects on-time and within budget. It is often a common site to see their executives poring over the project Gantt chart for hours trying to squeeze every bit of performance out of their team. 3 Well begun is half done Initial discussions between the student council of CSB and RWEP have been very productive. Both sides agreed on the major steps involved in organizing the event and the interdependencies involved. The first task in front of Walder Frey is to come up with a baseline project Gantt chart. As the event was going to be organized during the summer, it was commonly agreed that work will only happen during weekdays. Overall, it was agreed that there would be five major functions to planning the event. Planning, employer side preparations, student side preparations, outreach & PR and revenue management. The major activities in planning phase are as follows. The first activity would be a scope outlay where the student representatives and the organizers would sit down and chalk out the specifics about the job-fair. This activity is expected to take 2 days. Discussions with city hall would take 2 days to make sure they are on board with the event happening in the school. Discussions with the school is also a planning activity that is expected to take 4 days during which agreement from the dean an the school leadership would be sought for the overall plan. This can happen only after the discussions with city hall and scope outlay is completed. Sponsorship is a key activity in the planning stage, the sub-activities under sponsorship are- deck preparation (an activity that takes 3 days- can start after the scope outlay), pitch (takes 5 days and can start after deck preparation), and finally sponsor contract signing (takes 2 days and can only start after pitch is completed). Budget agreement also comes under the planning phase. It would take 2 days and can start after the discussions with the school are completed. Employer side preparations involve four major activities. A potential employers list is created after the scope outlay is completed. This activity is expected to take 3 days. Employer pitch deck preparation can be started after this list is created. This deck takes 6 days to be prepared. The actual pitch to employers is done over the next 3 days once the deck is prepared. After the pitch is made to all employers, the final participation contracts are prepared and signed over the next two days. Student side preparation has four tasks within its scope. Potential list of all schools are prepared after scope outlay is completed. This is followed by presentations that will be made at each school over the next 10 days. Based on the interest generated, data consolidation is done over the 2 days after all school presentations are completed. After data consolidation, the final list of participating schools is compiled which takes 1 day to complete. Outreach & PR involves two activities, a social media campaign that runs over 7 days as well as an above the line (ATL) advertisement campaign that lasts 4 days. Both these activities can be carried out after the employer pitch is completed. Venue management involves hall reservation, which takes 3 days and can be started after participation contracts are finalized and final school list prepared. Infrastructure procurement takes 12 days and can be started as soon as budget agreement is completed and sponsor contracts signed. Employer creatives is yet another activity that can be started once participation contracts are signed. This activity is estimated to take 6 days. Once employer creatives is completed and finalized, they are printed and installed at the venue over the next 4 days. The final event can only happen after both outreach activities are completed as well as infrastructure procurement is completed and all creatives are printed and installed. 4 The challenge After a detailed plan was drawn up, the student body asked what were the critical activities in the project plan (Q1). This would be their baseline 1 and this has to reflect in the project Gantt chart(Q2). They also asked RWEP if it is possible to pull back the date of the event by 3 days. They already knew that printing the creatives is a critical activity and they could use the help of students to reduce its duration from 6 days to 3 days.
