Business Need: This project has been initiated to streamline the admissions process and to reach new candidates on the Internet.

Business Requirements: Using the Web, candidates should be able to apply for admissions, and track the status of their application. They should be able to securely provide all the information required by the university, and receive notifications as their admissions packet is reviewed and a decision is made by the admissions committee. The functionality of the system is listed below:

Fill out forms providing all candidate information required for admission

Allow recommenders to provide input on their perceptions of the candidate

Maintain a paperless file on each candidate

Interface with applicable external systems such as the Educational Testing Service (ETS) in order to import standardized test scores Allow admissions personnel to access all candidates information

Provide messages to the candidate and to admissions personnel as the candidates file status changes

Business Value: We expect the number of applicants to increase as a result of a wider scope of potential students who can apply and track their application status through the new Internet presence. We expect the number of top-notch applicants who choose to accept our offer of admission to increase, because we will provide a better and faster admissions experience than many other colleges they may consider. We also expect the costs of our admissions process to be reduced as we automate processes that are currently manual, slow and labor-intensive. Conservative estimates of tangible value to the university includes:

$50,000 reduction in payroll through the elimination of an admissions specialist

10% increase in the number of top-notch candidates who accept offers of admission

25% increase in the number of applicants.

Special Issues or Constraints

The elimination of the admissions specialist position will be coordinated with the expected retirement of the current employee to minimize personnel turbulence.
