The practice has 8 physician partners, 4 registered nurses, 6 medical assistants, 3 billing clerks, 3 registration support staff, a business manager, and a director of operations. They have been resistant to change from a paper-based organization but have finally made a commitment to implement an electronic health record. The practice has asked for your assistance in finding the best system. 1. Determining System Requirements a. Thinking about some of the steps you will take to determine the needs requirements for the new system, you decide to examine the following. Remember that "requirements" is referring to what the system will need to be able to do or accomplish for your organization. i. 5 key questions you should answer or considerations you will need to analyze in your planning ii. You need to develop a stakeholder team. Who are some of the key members you would recruit? How large will your team be? Explain why you would select these key members as opposed to those you chose not to include. iii. How do you plan to prioritize the requirements that you have identified? In other words, what is the order of importance and why? For example, is cost more important than user acceptance? If so, then why? 2. Vendor Search Strategies a. Discuss at least 3 vendor search strategies your team will follow before deciding whom to send the RFP to. You will need to explain why you chose these strategies. 3. Evaluating Vendors a. Define the source selection criteria that you might use for evaluating proposals. You should have a minimum of 5 criteria and the total weights must add up to 100 percent. Justify your criteria and weights making sure they align with your priorities mentioned in question 1. Create an Excel table (using Table 12-4 as a guide) inserting scores from 4 hypothetical vendor responses. You must have formulas and calculated scores in your table.
