Part 1: Overview
Create a scenario about the client that you will be planning the event for. This will be a social life
cycle event (examples include graduation, wedding, anniversary, vow renewal, birthday). Event
must take place in Ontario. You also have the option to plan an event for a store opening.
If the client is an individual(s) e.g. a person, a couple or a business (for a store opening)-
Provide information about the client?
What are their backgrounds i.e. age, education, career, interests, other relevant information?
How did they meet? Any other information you wish to include about the couple. What is the
couplesstory?
If it is a corporate client: Provide information about the client/company. What is the
background/history of the company? What is its mandate/mission? What is the nature of the
business? Any other information you wish to include about the company/business?
You are meeting your client for the first time. This initial meeting will serve to get to know your
client and serve as a preliminary fact-finding meeting with your client. During this initial meeting,
your client will provide information about the type of event that they wish to have, including the
date, time and duration, the type of venue that they wish to have the event at, the theme for
their event, the number of guests that will be in attendance, the type of cuisine and meal service
they wish to have, a general outline (agenda) of the event, and the total budget they have to
spend on the event.

Based on the scenario you create, and the information provided by your client, write, in
paragraph format, an overview of the event that your client wishes to have. This overview must
include the following information (in paragraph format): Client information, date, time and
duration, type of venue, number of guests, general description of type of food and beverage
(and type of service), style of entertainment, general event agenda, and overall anticipated
budget. This section should be no longer than one page in length.
Part 2: Theme
Following the initial meeting with your client, identify and research a theme that will be
incorporated in various facets of the event. Write a report which elaborates on the chosen
theme. For this assignment...
1. Identify a theme for this event. Describe the theme. Clearly state the theme and provide a
description of this theme.
NOTE: A FALL THEME IS NOT PERMITTED!! Be Creative!
2. Explain in detail the process that was followed with the client to select the theme and
provide information (or a rationale) that supports the selection of the theme. The process
that your client goes through may include an initial meeting to discuss ideas, brainstorming,
researching online, personal experience, word-of-mouth, and/or another reason. Please
ensure that the rationale for selecting this theme relates directly to the client (i.e. selection of
the theme is not about you or your group members).
3. Provide details on how this theme will be implemented throughout various areas of the
event. The details on theme implementation may/should include the following areas:
- Venue, catering, artists/entertainment/speakers, dcor/props/scenery, marketing collateral,
AV/special effects/sound
e.g. For a raspberry themed event:
Invitations will be white card stock with burgundy coloured text in script font
or Dessert will be sorbet (raspberry) with chunks of real raspberries.
or The centerpiece will be a clear glass vase, 12 in height with an arrangement
of red and cream coloured calla lilies with babys breath and six raspberry
scented tealights. (Please do not copy these for your event)
4. Provide a LIST of dcor and any particular equipment that will be utilized, including the
quantity required for each item. This is to be presented in chart format.
5. Include a colour photo(s) of the inspiration of this theme. All photos must be appropriately
labeled and linked to the content.
