Scope Management As described in Section VIII of the case study, this current project, GIS Project Phase 1, focuses on creating an application and the associated processes to manage three sets of master data: - GIS People brings clarity to how the organization and its systems view and manage its employees and contractors. This role-based system will eventually be used by other systems, including the ERP, for authentication and access control. Plus, in a future phase of the ERP, the GIS People will be an invaluable input to the HR system. - GIS Products formalizes the product and services categories of the 20 million (and growing) SKUs throughout the organization. By standardizing the product and service categories, the organization can assign proper product management processes including service delivery. - GIS Customers is required for the ERP system to manage the supply chain better. It also has a strategic importance for another project under consideration - CRM in which the GIS Customers will be an important foundational component. For each of these set of master data, the project team plans to create the following project artifacts: 1. Vision for this set of master data (e.g., customer, product, people) 2. Business requirement 3. Technical specifications and engineering diagrams 4. Communication materials 5. Training content 6. Operational guide including detailed process description 7. Enhancement backlog including tracking of issues and changes There are additional GIS components being planned for future phases. The important functions of the application and business processes are as follows: 1. Clear processes of identifying, defining, evaluating, approving, and terminating any new data. All data also must have clear ownership, preferably a single point of ownership. 2. The application must be able to create an auditable trail of all changes including the following: a. Importing or adding new data into the application b. Modifying and deleting existing data c. Cleaning data, especially updating with updated information
