Seneca Construction is a non for profit organization. The organization does different social projects in Ontario. This year Seneca Constructions is helping restauration owners to set up for patio dining at a 50% discounted rate. You have been hired as a team member for one of such projects. We are meeting the customer this week.

Project Manager has assigned you to create the WBS for Jack and Jill caf. A patio set up project will typically involve:

Phase # 1: Where we meet customers, collect requirements and covert these requirements into project scope. Phase # 1 is completed when Seneca Construction and the customer scope statement of the project.

Phase # 2: Involves getting all design and drawings completed. It may also have back and forth communication with customer to make improvements to the drawings. Customer approved drawings are submitted to the govt. agencies for the construction permits related to the makeover. The milestone to mark the end of Phase # 2 is to secure approvals and permits.

Phase # 3: Is considered closed when all the work is completed according to the scope statement. This would involve, site preparation, site improvements, furniture installation and setting up al decorations.

Phase # 4 is where preliminary testing and final testing is performed. All documents are signed between two parties and the project is handed over to the customer.

Some Tips:

1) Your complete project is always Level 1 (top most box). For example, if you are installing solar power your Level 1 should be something like "Installation of Solar Power System".

2) Level 2 is usually your milestones (how would we go from start to finish). So, in our example the milestones can be:

1. Conduct a survey of the property/office/residence.

2. Propose a design and get approval from customer.

3. Get government approvals for installation.

4. Conduct safety survey before installation.

5. System installation.

6. System testing.

7. Sign acceptance with customer.

3) In Level 3 and Level 4 start expanding your milestones. So, in our example we will use the first milestone of Conduct Survey and break down to:

1. Call customer to set up survey appointment.

2. Send an email to customer confirming appointment and detail description of the areas you will visit.

3. Confirm one day before the survey to double check if customer is ready.

4. Technician to conduct survey and fill out technical survey report.

5. Share the report and findings with customer for their input.

6. Send the report to technical team to make a custom solution.

4) Be careful about the relationships when you decompose any task (box) you'll have to break it down into at least two tasks (box). In the orange diagram below Enroll Volunteers is broken down into only one box which is Send Email and so on whereas in the blue diagram the Enroll Volunteers is broken into three different boxes.
