REQUEST FOR PROPOSAL

Cool Beans Coffee is looking for a qualified, reliable and skilled contractor to build our brand new facility in Red Deer. The facility will be a one story, 1500 sq ft building. The selected contractor will be responsible for all aspects of structural construction from ground work to roofing. All sub-contracts must be approved by Project Leader Cassidy Colling.

Founded in 2021, Cool Beans Coffee is a brand new enterprise looking to make its mark in Central Alberta. We are looking to create a space that appeals to our youth target market but is also inviting to other demographics as well. This facility will be the base of all of our operations and service so it is crucial that the image presented by our building is consistent with the euphoric, relaxed feeling we want our customers to feel before they even step through the doorway. Our ideal contractor will be familiar with modern design and functionality with a team that is dedicated to achieving exceptional building quality and aesthetic. Our team of project managers are determined to work effectively with contractors to ensure that all communication is crystal clear and to avoid any setbacks. We have purchased property at 5425 25th Avenue, downtown Red Deer AB. The property is a 0.32 ac dirt lot with easy access and workspace for heavy machinery and cement trucks.

We are seeking a 6-month contract with 2 possible 3-month renewals. The total project time is scheduled to begin March 1st, 2022. Continuation of the project is a prerogative of Cool Beans Coffee and not a right of the contractor. Renewals will be made only when such continuation is in the best interest of Cool Beans Coffee.

SERVICE/WORK REQUIREMENTS

  1. It is crucial that all work be completed in accordance with all Alberta building safety standards and regulations including plumbing, electricity, gas, flooring, siding, roofing and all other integral activities that apply to structural solidarity.

  2. All members of crew or subcontracted crew are required to perform tasks in accordance with all OHS safety regulations and must be proven competent to perform their required task.

  3. The management team requires a high level of effective communication from the contractor and it is in our best interest to maintain a productive and positive relationship with all members of the crew.

  4. All subcontractors must be approved by team leader Cassidy Colling or another one of the 5 members of the project management team.

  5. Once a week, contractors must meet with the project management team for a status review meeting and be able to maintain a strong level of trust and transparency with management.

  6. Budget is not flexible. Requests for additional funds will be entertained only if they are expressed to all members of the management team.

  7. All technical aspects of construction are the responsibility of the contractor however changes to the project must be discussed with and approved by members of the management team.

  8. Contract is a 6 month period with 2 possible 3 month renewals. Continuation of the project is a prerogative of Cool Beans Coffee and not a right of the contractor. Renewals will be made only when such continuation is in the best interest of Cool Beans Coffee.

EXPECTATIONS

  1. All members of crew whether they are subcontracted or not must maintain a healthy working relationship with all of those involved with this project and any conflicts that arise can be dealt with by the contractor.

  2. Project is expected to stay on schedule however if setbacks do occur, it is expected that they can be dealt with in an effective and professional method and no shortcuts or actions be taken that could negatively affect the quality of the project

  3. It is expected that the selected contractor has a high level of experience and knowledge of construction and must be confident and driven to produce the required deliverables.

  4. Contractor must have exceptional communication skills and be very transparent with the management team about all aspects of the project.

  5. Contractors must be able to work together with other members of the project and maintain a high level of effective communication throughout the entirety of the project.

PRICING

All submissions are required to deliver an accurate estimate of their total cost of the project as well as any out of pocket expenses and reserved funding required for completion of the project. Submissions are required to present hourly and daily rates and must be able to discuss with the project management team how funds will be allocated. It is important to our team that we understand what materials, facilities and services are being paid for and their estimated rates.
