1. A new Rent Order (RO) is received from a Customer and is recorded in RMS by a Sales
Representative at RentTool. RMS stands for Rental Management System and is RentToolss
information system.
2. The Sales Representative checks the availability of the tool requested in the RO.
3.(I) Unavailable: the RO is rejected, which the sales representative notifies the Customer by a
message and the case is closed (end of the process).
4.(II) Available: the RO is accepted.
5. Once the RO has been accepted, the clerk marks the items(s) as "unavailable" during the rental
period, and schedules the delivery. The scheduled delivery time is recorded in RentTools
information system (RMS)
6. A Customer can send a request to cancel an RO, in which case the Clerk at RentTool marks the
items(s) as "available" and the delivery is cancelled. A cancellation request must be received
before the tool is dispatched from RentTools warehouse for delivery (before the scheduled
delivery date).
7. Once the tool has been dispatched (i.e. it has left RentTools warehouse), it is no longer possible
to accept the Customers cancellation request however, the Customer can still reject the
delivery as described below.
8. On the due date, a Logistics Agent of RentTool delivers the requested tool to the customer
location. At the location, the Site Engineer checks the tools together with the logistics agent. The
site engineer might reject the delivery because of a defect in the delivered tool or an error
attributable to RentTool. In this case, the status of the order will be recorded as rejected in
the RMS and the process ends.
