For this assignment, you will develop a project management plan (PMP). There are several things that you are required to document to complete this project, based on the scenario you are provided. Earlier in the term, an assignment included several tasks that relate to project implementation. This assignment builds on some of that work.

Background of the Project Assigned

The IT Project that was completed earlier in the semester involved the implementation phase of a project that would have included coordination between multiple organizational elements. This project goes beyond the earlier project to include the functions from analysis thru evaluation.

Your organization will be acquiring additional facilities in the future. As the representative of the IT division, your task is to analyze and document all elements related to IT and function as the project manager for the entire project. As the project manager, you must develop a PMP.

Other members of the project include the operations division, which manages and approves the opening of all facilities, the finance division, which funds the project's costs, and a representative from each division that will occupy the facility. The project manager is the chief operations officer (CEO) or their designated representative. The project sponsor is the chief administrative officer or their appointed representative. The project's scope includes the analysis, design, development, implementation, and evaluation of the project.

The chief administrative officer notifies the CEO of the need for a new facility at a specific location. The CEO then identifies which divisions will occupy the facility. The CEO then tasks the project manager to begin the analysis phase.

The project manager works with each division to document their requirements (office structure, furnishings, IT, etc.). The project manager then forwards all non-IT requirements to the operations division, who works with the architect to design the building and with vendors to budget the furnishings, etc. The project manager works with the IT division to budget the IT requirements. All buildings have standardized requirements (and costs) that are also included in the analysis. A contractor will be hired to build the facility and ensure all internal electrical and network cabling is routed from the communication closets to every room. The contractor will also acquire and install all communication closet racks needed for the network infrastructure.

The public service telecommunication provider (phone company) will provide the telecommunication cabling to the demarcation point within the facility. The cost of these services is determined by facility size and structure and provided by the operations division to the project manager to be included in the PMP. The cost of acquiring hardware, software, and services needed to satisfy the users' requirements is provided by IT to be included in the PMP. Once a final budget is established, it is the responsibility of the project sponsor to approve any changes to the budget.

The typical order to execution includes analysis and documentation of the requirements, budget, scope, assumptions, constraints, etc.; followed by the review and signoff from the divisions who will occupy the facility along with the operations and finance divisions; followed by approval of budget and PMP by the CEO; followed by the execution of the project; and followed by an after-action evaluation of the project. Any changes to the milestones must be approved by the CEO, who will brief the CEO.

Schedule

The project schedule from the earlier project needs to be modified to reflect the additional milestones outlined in this narrative. The project manager creates and updates the project schedule based on feedback provided by the operations and IT divisions. The project schedule will be maintained using the MS Project Management software. (You can use alternative software to create the required documentation for your homework, but you will annotate that you are used MS Project in the plan.)

Communication

During implementation, the operation's division will notify the project manager monthly, via email, of the status of the non-IT portions of the project. The project manager will then notify the IT division of the project status via email to ensure IT acquisition and preparation steps are completed before the IT portion of the project. During the last month of the non-IT portion of the project, communications will occur on a weekly basis. The project manager will also communicate with senior management when requested.

Budget

The project manager is responsible for monitoring the budget expenditures, reporting to the project sponsor if costs exceed the budget, or reporting to the project sponsor if costs are significantly less than the original budget.

Procurement and External Entities

The operation's division will continuously monitor the facility's construction to ensure it meets the requirements and industry standards. Once the facility is completed, the operation's division will prepare the facility for occupancy to include installing furniture, working with vendors to install vending machines, and custodial maintenance. Once this phase is completed, the facility will be turned over to IT for equipment installation.

Risk

Lastly, the assignment requirements include the need for you to identify at least 10 risks inherent to the project. You can use an alternative to the example risk table or risk register shown in the template. However, make sure that you describe the risk, the consequences of the risk, the probability, severity, and how to mitigate the risk.
