Initially, establish a rapport by reaching out to the contact designate in a professional manner. Create your own checklist / agenda outlining how you will garner the information listed below.
You may have to schedule a 'post event discussion' with the event manager to get the information required for this assignment - as the event managers have MANY time constraints. Obviously, you do not want to get in the way at the event, however, you do want to make friends, network, and influence people!
Use the following criteria to frame your report:
- Describe the initial interactions:
- Was the initial communiqu with your contact professional?
- Were they receptive, kind and expedient - or did you feel you were bothering or inconveniencing them?
- Determine and describe the event particulars:
- History
- Event objective (mission, vision and goals)
- Location, date, timing - introduce your contact (describe their role)
- Target Market the demographics of event attendees (observation)
- How does the volunteer manager handle: recruiting, selecting, hiring, training and managing volunteers for this particular event- was there a volunteer application required?
- Identify the volunteer motivation factors (text p. 73, 74). Are their specific benefits for working this event (incentives access to shows, swag etc)?
- Is there a documented 'code of conduct' or a 'training package' provided to the volunteers?
- Do the volunteers have to have a police check, specific attire (Uniform, T-Shirt, Tracht traditional German garments) or any other KSAs - Knowledge, skills and ability requirements (speak German, need transport et cetera)?
- Did the event have an 'Event Manual' present with policies (Grievance and Harassment complaint incident process)?
- How are communications and emergency contingencies handled any conflicts evident?
- Observe management activities and demeanour, professionalism, management style, attitude and organizational skills. Comment on how you felt as a volunteer/observer was this a good experience?
- Describe your roll and what you did at the event (what roll/job you performed be specific) identify who was in charge (Name) and who you worked for (reported to).
- Describe how the event went: attendee #s, flow, guest feedback - did the attendees have a positive experience?
- Be prepared to briefly describe the event with the class.
