It contains all the essential information a business executive who does not necessarily have time to read the whole document needs to know to understand the crucial elements of your project at that point. The executive summary should capture your executive managements attention! Create a hook that makes management want to read more and explain why management needs to do something. If management chooses to read nothing else, this section should cover enough information for management to want to proceed with this project. Project Description:
FAC Driver Training
As a service to the community, the FAC offers vehicles for drivers ed training at the local high school as well as providing vehicles for training classes with the organization. Four types of training classes are offered: beginner drivers ed, motorcycle driving training, large bus/chauffer driver lessons; and a remedial drivers training course which is required by the county for some because of driving offenses. Lessons can be taken as group lessons or as individual lessons. Community members can sign up for group lessons in all four types of training. Currently, participants sign up for lessons by calling FAC or inquiring in person. Currently, lessons are recorded in a notebook maintained by Andy Niekamp. Lessons are provided in eight-week intervals. There are two summer sessions (May-June and July-August), one fall session (September-October), two winter sessions (November-December and January-February), and one spring session (March-April). About a month before each session is to begin, Andy begins to take reservations for classes. He first contacts the current instructors to determine if they will continue teaching at the currently offered time and day. After getting the instructors preferences, he makes a master sheet of lessons. This master sheet includes the day and time the class is offered, the instructor's name, and the cost. When this has been approved, he begins to take reservations for lessons. Each class size is limited to 4 students. If more than 4 people indicate they want to take a certain class, a waitlist must be created. If someone cancels, Andy then looks to the waitlist to see if anyone else wants to get in the class. Participants are billed at the end of each session. This bill arrives at their home. This bill includes only fees for lessons for the prior session. If a family has several family members taking different lessons at the same time, the family will receive multiple bills. At this time, Andy creates the bills through an excel spreadsheet. Occasionally, errors have occurred, and too many participants have been signed up for a class. When this happens, the extra participant must be re-assigned to a different class. For anxious 16-year-olds, this is rather upsetting. In addition, community members can request private lessons with specific instructors. Andy takes these requests and contacts the instructor to see if he/she would be willing to give private lessons. Private lessons can be a one-time lesson for brush-up on skills or occur over several weeks. Andy must keep track of when private lessons are booked and the fees because FAC receives 5% of the fee paid to the instructor for use of FAC vehicles. The current system has worked adequately, but Andy is finding it more and more difficult to keep up with the growing demand for driver lessons. In addition, there are more and more instructors being hired. Hed like to see a computer system that allows him to enter participants for lessons. Andy would also like a new system automatically generate a class roster for the instructor. He also thinks a system where instructors could input their times available for private lessons would eliminate the necessity of people working through him for scheduling private lessons. Andy has also had a difficult time keeping track of which instructors can teach which classes (for example only those certified with a chauffeurs license can teach the large bus/chauffeur class). Occasionally instructors have quit at the last minute, leaving it up to Andy to find a replacement. Hed like to have a master list of instructors and what they are capable of teaching, as well as the time they are available (and willing to teach each session. Another inconvenience has been the billing. Andy would like to see a system that automatically generates a bill based on customer-number. Also, if a family has multiple members taking lessons, one bill should be sent to the family as opposed to multiple bills. Several long-term customers have been asking about a discount for their children when taking Driver Training. Andy has decided that if a family has brought their car(s) in for maintenance costing $100 or more in the last 6 months, they may have a 5% discount on one childs driver training. Of course, if they continue to bring their cars in for maintenance, subsequent children in later years will be eligible for the discount. Andy would also like to see a report generated that shows how many people were enrolled in each class in each session. Andy also thinks a letter should be automatically generated for someone who gets into a class that was on the waitlist. This would free up some of Andys time. The letter should let the person know they are being taken off the waitlist and when his/her class is starting both day and time. When this happens, the system should automatically update the instructors class roster. Finally, it is through Andy that the local high school borrows vehicles for drivers ed. Andy needs a system that will allow him to check the availability of different FAC vehicles (they shouldnt be rented to someone else or be in maintenance) so that he can let the high school borrow the vehicle.
