FORMATIVE ASSESSMENT 2 [100 Marks] Important: Students are requested to read widely and answer the following questions on project management. Furthermore, students are required to integrate theory and practise in their answers. The examiner will take into consideration the links to theory and practice and finally the synthesis of the discussion. Students should support their discussions with tables, figures and graphs where possible.

Project Scope: You have been appointed as a project manager for the installation of a solar energy system in order to provide backup electricity to an old age home. Due to the recent electricity outages, the continuous operation of critical equipment at the old age home have been affected which has resulted in the death of a few of the residents. Due to sympathy from the public, large corporates have syndicated to provide the urgent funding needed to purchase and install the solar energy system. The stakeholders for this project are anxious about the progress of the project. They have demanded involvement from planning up until closure of the project. Consider the project stakeholder and communication management theory that you have studied and answer the questions that follow.

Question 1 (20 Marks)

Project communication, according to Healy (1997:227), has a dual purpose: the first is to cause some action or agreement to take place, and the second is to make a record that might be needed later. You are required to critically discuss the importance of effective and efficient communication in your project.

Question 2 (20 Marks)

Projects invariably touch lots of people, not just the end users (customers) who benefit directly from the project outcomes. Communication should be managed with stakeholders in mind. In continuing the planning for your project, discuss what you envisage project communication is about and how it relates to your project.

Question 3 (20 Marks)

In identifying the stakeholders of your project you will look at them from internal and external perspectives. Identify your internal and external stakeholders and justify why they are considered your project stakeholders.

Question 4 (20 Marks)

According to Gido and Clements (2015:22), the project team needs to build a relationship with each stakeholder that is tailored to each stakeholders' specific interests in the project. Kloppenborg (2015:124) echoes this sentiment that Project managers and teams seek to develop strong working relationships with important stakeholders. From your project perspective identify and discuss what project relationship building activities include.

Question 5 (20 Marks)

Negotiation is the method used to reach an agreement by compromise, which is open to discussion or modification. Negotiation is the process of trying to get a better deal for the project than the project manager would get without negotiation. Use the theory on negotiation strategies by Cuiksys (2012) and discuss the negotiation strategies that you intend to use to negotiate with the stakeholders of your project
