Memo Scenarios Write two memos, one for each scenario below. These memos will be in response to a memo sent by your CEO (see the attached memo). You may invent any information you need as long as it fits within our general scenario. Scenario A Your Role: Director of Information Technology at The Arabian University The Provost has sent an internal (not for the public) memo that seeks to address the issue of cheating on exams within the university. In that memo, he admits the issue, discusses its effects, and seeks a solution. Though you agree with your Provost, you do want to inform him of the specifics of such a solution. In short, to be successful, what would a proctoring program need to do? What kind of technology would be required? Would it be laptop-side, server-side, or some combination of both? Compose a memo to your Provost by using proper formatting and organization. In the memo, respectfully, give him your opinion on the matter. The memo will need to: • briefly explain the background behind the situation and how the Provost has chosen to address it confirm the Provost's plan before moving on to your reasons for enacting the plan . inform him of at least three key issues that must be addressed for any proctoring system to work . To: The IT Department, The Arabian University From: The Provost, Dr. Abdullah Al Shamsi Date: June 7th, 2021 Subject: Addressing Issues with Exams I would like to start by thanking each of you. Your small staff has been tasked with all matters related to IT, from networking and device maintenance to bandwidth issues on campus. Often, your duties require long hours of work, and I appreciate your service. Now, we must address a growing issue to maintain the integrity of our university. Since coming to The Arabian University four years ago, I have praised its strengths while looking for ways to address our weaknesses as an institution. To me, cheating on exams is one of those weaknesses. This affects our reputation, damages the morale of students and faculty, and chips away at our standards. We have held to these standards since Day 1 - and I want the quality of our education to remain high. This is an issue, of course, we must approach carefully. The vast majority of our students work hard, study diligently, and do so with honor. I wish for our students and the university to retain that honor. To raise a finger of blame in public, thus, would not be appropriate. Instead, I need your help to find a technology- aided solution. In advance, I thank you for your discreet efforts to find a solution, one that will allow us to proctor exams in any situation to ensure our exams remain fair. I also understand that some of you may object to this idea. Please e-mail any questions or comments to me at provost@thearabianuniversity.edu. I am open to hearing your thoughts - and I encourage you to offer these comments to me, anonymously and in writing. Thank you for your constant efforts to make our university the best in the region.
