Electronic Files Develop a procedure for scanned documents similar to your hard copy files:

o Some electronic records retention systems employ tags rather than folders.

o Some systems use tagging such as: Client name/file folder/name of document/date

Daily Filing Develop a procedure for handling all incoming mail, and document productions.

o Filing should be a daily priority, along with a distribution system to ensure that legal documents are calendared quickly, and bill/invoices are handled properly

Retention and Destruction Develop a system for storing, archiving, and destroying files. The retention system should be consistent and should, at a minimum, cover the following issues

Confidentiality The key to successful records retention, retention and destruction system is to keep client confidentiality as a top priority.

o Discuss how your records retention plan ensures that client confidentiality will be maintained during the active phase of their case and prior to destruction
