PURPOSE

This request seeks approval from the Acting Chief Financial Officer for the booking of accommodation and meals, including lunch packs, for assessing space and measurement in preparation for installation of bolted shelves and to discuss records management issues.

BACKGROUND

Document Management has been mandated under the National Archives and Records Services Act $($Act $43$ of $1996,$ as amended$)$ to ensure the proper creation, maintenance, use, and disposal of records for efficient, transparent, and accountable governance.

Provincial Treasury has allocated funding for the urgent procurement and installation of bolted shelving in various district clinics and CHCs across the Province. This is part of the scale$-$up plan to prepare identified ideal clinics for the NHI initiative, driven by the National Department of Health.

MOTIVATION

Alongside these space evaluations, the assessments will involve understanding current procedures, identifying challenges encountered by the clinic staff, and collecting their feedback on enhancing the records management system with the new shelving.
