You are a Project Coordinator for an Educational Software Company called Desperate for Learning (D4L). Currently they are recruiting a lot of staff due to a strong increase in demand caused by the COVID-19 pandemic and the need for more online education. Staff are being recruited in the Sales, Software, and Customer Service groups. Your boss Natalie Maiden has tasked you with running the project that will manage this recruitment project.
THE OPTIONS
The following options were discussed:
1. The recruitment process could be done via a recruitment event that would cost $8,000 to setup and would likely generate a lot of interest from candidates.
2. Alternatively, recruitment agencies could be approached which would cost about $30,000 in recruitment commissions; however, there is not much time to work with them.
3. Finally, the candidates could be found through those on record within the recruitment database and by advertising on the company website; it would take $2,000 of the recruitment budget to arrange this.
THE DECISION
Ultimately Natalie decides on Option 3.
PROGRESS SO FAR
You will be working with John Slat and Mary Evans, who are recruiters and work on identifying candidates and doing the initial screening. You will also work with Jackie Chan from the Human Resource department who liaises with the various managers to on-board the new recruits and perform the initial induction. The job specifications will come from the managers within the three departments, namely Basil Forte, John Cleese, and Eddie Murphy. They will also perform the final interviews and make the decisions on who to take on.
You have six weeks in which the recruits need to be found, be selected, and start employment. The project will start Monday, June 1 and the recruits will start their new role and have their on-boarding on the July 17.
Your job will be to ensure that recruiters, managers, and HR keep on track. You have also been told that Jackie Chan is not happy that Natalie is asking you to coordinate this as he feels he could have managed this activity on his own, despite the fact that he has many other responsibilities.
As part of the on-boarding process, the new employees will all receive their induction from Jackie on July 18 and there will be a lunch provided. You will have to arrange the catering for 20 people, book the room, send out invites, etc.
Your budget for the catering is $1,000 with 20% to be paid two weeks before the on-boarding and with the balance to be paid on the day of. In addition, you will have to track the expenses for the project which will be $500/week for the costs associated with the recruitment process as well as interview expenses for all candidates at an average of $20 each. Based on previous experience, there will probably be 35 people selected for interviews with 20 ultimately recruited. The expenses should be averaged out over the first five weeks, as this is the period over which the interviews will need to take place.
