The company you work for has asked you to develop a Request for Quotation (RFQ) template for
commodities that will need to be purchased. Your company has very limited background information
they can provide and are relying on your expertise to come up with a document that will be suitable for
the industry you are in. It must prove to be a valuable tool in the supplier selection process.

This assignment is due for the 11th session.
Value
20% of your grade as noted on the RFQ Scoring Rubric below.
Details
1. This work if to be original, and not copied from other templates or from your employer.
2. Select a tangible good (not a service) that your company will need. Conduct some research to
better understand some of the properties and how this good would be used. You only need to
focus on a single item, not multiple different ones.
3. Submit your selection to the instructor by email by the next class. Include your name in the
submission.
4. The instructor will review and approve your selection or may ask you to pick something different
if it is not suitable.
5. Once approved, conduct research on the specification of your good. Determine how it is best
described, how it is made, packaged, transported and used.

6. Review the textbook, lecture material, and your own research to come up with a suitable RFQ
document that will address the details as identified in the scoring matrix below.
7. Source three actual suppliers that could provide your item as a bid list. Be sure to include
relevant contact information!
8. Prepare a formal RFQ document your company has asked you for.
What is in an RFQ?
Once you have done your initial selection, consider the following to help you clearly articulate
what you need. Consider the following
- What is the purpose of the item?
- What is it used for?
- What industry is it used in?
- Is it a component or a completed item?
- What is the dimensions/size/volume/weight?
- What colour, style, type, grade or other features or characteristics would describe it?
- Doe sit have a tolerance?
- Can theyre be a substitute for it?
- What standards, certifications or guarantees would apply?
- Does it require safety (MSDS, WHMIS) documentation?
- Does the good require drawings or schematics?
- Does it require a logo?
- Would training, warranty, help line or other support be needed?
- What permits, customs, tariffs and taxes might apply to your good?
- Can it be packaged, boxed, palletized and/or contained?
- What is the optimal quantity to order, how frequent, and in what volume?
- What mode of transportation would you use?
- Would Quality Assurance testing and inspection apply?
- What legal jurisdiction would apply?
- What performance measures would you use?
And consider the format of the document your preparing
- What your document layout to drive out a purpose, details specification and background
will look like.
- What instructions will you provide to the supplier for questions and submission
- What evaluation criteria you will use
- What terms and conditions you would consider for Contract A and Contract B.
- Limiting and eliminating duplication, unnecessarily complex quote forms and vague or
confusing instructions.
- A layout that is professional, exceptional, succinct, and easy for the intended audience
(your supplier) to read and complete properly!
