The consulting firm has been selected. Besides a Partner with 20% capacity, there will be a Project Leader and four consultants (Consultant 1, … Consultant 4) on the project (all full-time, on-site Monday through Friday). The negotiated daily rates are $3,500 for the Partner and $2,400 for each consultant. In addition, there will be 25% expenses on top of the fees each month, that cover flights, hotel, rental car, etc.
The only question left is if the consultants should support the entire project (so 7 months) or just a portion of it (4 months) – since the hospital has been very successful in the past with implementing projects.
With the help of the Sponsor, you also have secured internal resources for the four work packages. Besides yourself as the Project Leader with 100% capacity, each work package will be accompanied by 2 internal team members with 50% capacity each (one will have the Lead) and 2 specialists with 20% capacity each that are available for support.
You and the Sponsor agreed to meet weekly to align and to discuss any project issues. You also decided together, that the Steering Committee meetings should be after each phase, otherwise no longer than four weeks apart. You also discussed that you will have weekly team meetings with the four internal package leads and the consultants.
With the help of an IT colleague in the hospital, you have also started to set up the monitoring for the four processes that need to be improved.
The goal that the CEO communicated is still valid, and you identified the current time needed for the four processes:
§Admissions Process: currently about 2.4 hours

§Discharge Process: currently about 7.6 hours

3. Timeline with Meetings – schedule necessary Team, Sponsor, and Steering Committee Meetings, and add it to your Gantt chart
4. Consulting Support – calculate and show the consulting fees for both scenarios (with full and with some implementation support)
