The data fields (or individual pieces of information) to be tracked on the system. Data fields refer to every minute piece of data the system must hold (imagine a screen for each HR function with each box on the screen being an individual data element). A definition for each data field. This involves documenting the characteristics required for each field of information. Examples include, the length of the field, the format (ie. text, number, currency, decimals, %, color coding, etc.). Documenting current information needs is most important; however, it is advisable to document highly possible future needs in a separate section. Here's a Data Dictionary example.
