Each year, the HR department for your company conducts a charity fund raising golf tournament for the United Way. To make this event happen, it requires raising money from sponsors (usually large vendors of the company), recruiting teams, processing registration fees and sponsorship donations.
The Lead Event Organizer creates two forms; one for sponsorship commitment and one for team registration. These two forms are distributed to Department heads throughout the organization. These department heads, over a 3 month period distribute these to potential sponsors who (most of the time) complete the form and return them directly to the Lead Event Organizer where they are recorded. Team signups are publically available and are completed by Registered Teams. Registered teams return the form directly to the Lead Event Organizer (return instructions are provided on the form). When the Lead Event Organizer receives the forms, they record the team registration to the master contact list and competition schedule.
When the golf tournament is 30 days away, the registration period closes and the Lead Event Organizer sends two email communications; one to the Sponsors and one to the registered teams. These two emails communicate event specifics, billing clarifications and request a final confirmation of their intent to participate. Both the sponsors and registered teams are required to confirm receipt of this final message no later than 10 days before the competition. 10 Days before the Golf tournament, this process is complete as the sponsor and registrant rosters are finalized.
