What procedures will be followed when writing the final project report? Please see previous question answered below as it look to be a follow on question.
Q: You are employed as a supervisor at the local mail distribution centre. The centre wishes to develop a new staff recruitment and selection process, to be implemented within the next three months. You have been assigned the responsibility of project manager. What documentation might you need to complete before the project ends? Provide at least ten examples. How would you obtain any necessary sign offs for concluding the project? Make sure your responses are specific to the project on which you are basing your answers.
A: Examples of documentation that will need to be completed before project end:
- Payment Records - invoices and other transactions
- Plans and tracking results
- Records of resources use, availability and disbursement processes - these enable management to anticipate future
project needs
- Measurements of process performance, performance evaluations of personnel and of business success associated
with project
- Feedback - from customers/clients, suppliers, team members and other stakeholders
- Statements of the project purpose and intended outcomes
- Actual project outcomes and assessment of quality and matched against expectations
- Tracking and progress records
- Issues or problems that were encountered and measures to minimize them
- Improvement ideas that were developed during project
- Records of project authorization and change authorization
After completing the reassignment of the project team members. I would administer a full audit of the developed recruitment and selection processes, by conducting meetings with the staff involved from the HR department, managers as well as front line employees and newly recruited staff to ensure all of the goals and objectives have been attained. At the completion of this audit it would then be possible for me to document and submit a final report of findings for senior management. All project planning documents, drafts, improvement ideas, progress reports, data collections, finalized documents and reports would then be collated for storage as a completed project. The project would then be signed off as the project would be concluded.
