Scenario
wr are working at a regional office for a larger company that handles small business clients in London. Among others, your company handles accounts for two major national companies, including Kreativ Solutions and DeisgnInMotion.
we have been supervising an intern, Mary Robbichaud, who was supposed to send an email regarding the Kreativ Solutions account to a woman named Anne Davis, but she accidentally sent the email to a woman named Anne Davies, who works at DesignInMotion. This was an honest mistake that is quite understandable, but confidential information was disclosed about one client to another. This is made worse by the fact that these companies are in competition with one another. Company policy dictates that we must terminate Mary's employment because she exposed confidential client information to a third party.
we have already spoken with Mary about this situation as it happened, but now that her contract is up for renewal, we must let her know that the contract will not be renewed. we will say this to her in a meeting where we will hand her the letter, but we have to write an accompanying letter as a formal record (including her address).

Company Policy 2a42 states that "any employee who discloses client information without proper authorization will be immediately terminated. Severance can be offered up to two weeks of pay in such circumstances. Malicious disclosure results in a forfeit of any remuneration." we do not need to quote the entire policy and should soften language where necessary (i.e. the word "terminated").
Mary Robbichaud has worked with the company for 10 months.
Mary's performance has been good until this point. She succeeded in making it through one internship and it was extended to a second, and she likely would have been hired as a full-time permanent employee. In short, while she isn't exceptional, we have been happy with her so far.

Tips:
we can feel free to manufacture some details, but we cannot fundamentally change the scenario.
The entire letter should fit on one page and should be single-spaced. The letter should also demonstrate proper paragraphing, as taught in class.
Make sure to include a sender's address and a receiver's address.
Tone will be very important. Make sure to be sensitive to Mary without sounding like this is not a final decision or opening ourself up to liability. This week's slides will help with this
