You are required to develop a Portfolio containing the following logistical planning documents designed specifically for your event. The Portfolio should be designed to allow your event management company to plan and operate your proposed small-scale community event. Each section of the Portfolio should include an explanatory paragraph explaining the significance (and/or meaning) of each document and how each document supports the overall event, with reference to other sources.The portfolio is for a small-scale community event called Uphealth, which is a convention targeting students aged 12-16 to teach and encourage them about a healthy diet and the importance of physical exercise.

1. Risk Management, Safety and Security

i. A Risk Assessment Table: The Risk Assessment Table should summarise the potential hazards at your individual event and the preventative measures to be put in place. To create the Risk Assessment Table, you are required to follow the table provided in Bladen, Table 8.1 on pgs. 204-205. Page 19 of 22

ii. Provide a Crowd Control Considerations Table and a Site Drawing The Crowd Control Considerations Table and the Site Drawing should contain details about each of the following crowd control aspects for your individual event: Information to be included in the Table:

Estimate the expected number of attendees using the public space;

Calculate the number of ushers and service personnel needed based on the estimated crowd size and the desired staff-to-attendee ratio; and,

Identify the type and number of barriers needed (e.g., temporary fencing, crowd control barriers) based on the event's requirements and local regulations. Information to be included in the Site Drawing:

Identify the key areas at your event where barriers will be required to be placed to create designated pathways including entry and exit points; to separate different sections or zones, to reduce potential congestions and to prevent unauthorized entry into restricted areas

Determine the location of appropriate signage to clearly mark and secure these various areas.

Identify the most suitable routes for emergency personnel to enter and leave the event site in case of emergencies (Bladen, pgs. 209 - 214; Van Der Wagen, pgs. 165-166; 229-230). (Note the Crowd Control Site Drawing contains slightly different content to the Site Plan which is to be developed in Section 2ii below)

iii. Make a Table of the predicted Licences, Permits and Insurances required for your event The Table should include three (3) or more of the following aspects about Licenses, Permits and Insurances in relation to your individual event and your associated chosen event location:

alcohol consumption;

food handling;

noise;

fire precautions;

health and safety at work;

music and performance rights and licences;

waste disposal;

street closures.

In the Table provide details of relevant webpages, contact addresses and emails of where event staff could source these licences, permits and insurances required to operate your individual event (Bladen, pgs. 81-82 and Van Der Wagen, pg. 323).
