Assigned Project
Project Brief: Your team of students has been hired by the Manager of Career Development
and Student Success (Career Centre at Cambrian College) as co-op students to plan and
organize Cambrians Annual Career Fair 2024 at Cambrian College Gymnasium.
Project Milestones:
o The project starts on January 8,2024, and you have 12 weeks to plan the event.
o Registration Deadline for the exhibitors is Friday, March 15,2024.
o Booth set up and employer pre-conference on Monday, April 1,2024.
o The career fair is on Tuesday, April 2,2024, from 10 AM to 2 PM. The welcome
ceremony takes place the same day morning from 8:30 to 10 AM.
Project Purpose: To hold the largest in-person career fair in Northern Ontario that offers
exhibitors (employers) the opportunity to network with thousands of students and alumni,
generating internship and employment opportunities for Cambrian students and alumni.
Facilities for the exhibitors:
o Access to the Employer Pre-conference session
o Access to the welcome ceremony, free breakfast, and lunch. The nominees and the
winner of the Employer Award of Distinction shall be presented during the welcome
ceremony

o Access to the 1 on 1 interview area
o Free Cambrian Swag for each exhibitor
o Optional opportunity to be one of the sponsors (fee ranges between $5000 and $1000)
for various opportunities, including keynote speaker, pre-conference session, lunch,
lounge, partner, etc. Sponsors get recognized through premium location, Cambrian
social media promotions, co-branded swag, logo and website links on the career fair
website, logos on display screens during the conference, name inclusion in media
releases, on-site signage, etc.
o Access to post job opportunities on Cambrians myCareer portal free for one year
Budget: Not to exceed $50,000.
HR Costs: One of the students shall be the team leader (project manager) and be paid $20/hr
for 35 approved hours/week. Other student co-op team members shall be paid $18/hr for 10
approved hours/week.

with the project document names in the first sheet called About of the GanttUP V2 file, as
well as with the project document names below. It is highly recommended that you carefully
watch these videos, as they will provide step-by-step instructions about how to complete the
group assignment.

Project Charter (PC sheet)
All fields in the Project Charter should be completed.
Your goals should be specific and measurable. Do not generalize your goals, but
instead use specific numerical values where appropriate
Your objectives should be specific outcomes that are required in order to meet the
project goals.
Your Project Budget should be a specific dollar amount (estimated). Do not include a
range of dollar amounts. Do not provide the break-up. Break-ups shall be asked when
you submit cost estimates for the next group assignment.
Include at least four key stakeholders.
Include at least three overall project risks.
Project Kick-off Meeting
Team Roles
o One team member shall schedule the Zoom meeting and record it.
o A second team member shall facilitate the meeting to ensure that everyone
stays on the agenda (essentially the project charter) and that everyone gets to
participate by either speaking/ presenting or asking questions or raising
concerns.
o A third team member shall assume the role of the Sponsor and share the
background (purpose), the vision and the goal of the project.
o A fourth team member shall assume the role of the Project Manager and
present the Project Charter.
o The fifth team member (if your team has five members) shall keep the time and
make sure that the meeting/ video recording stays of an approximate duration of
10 minutes. If your team has only four members, the scheduler/ recorder shall
also keep the time. If your team has only three members, the scheduler/ recorder
shall keep the time, and the Sponsor shall also facilitate the meeting.
