The topic for your direct letter is (Appreciation)- As a junior accounts executive for an asset-management firm, you and a small group of your colleagues were invited to a dinner at a private country club. The host was your division manager, Rob Stockwell. Although you had to miss your daughters first ballet recital, the day produced some impressive golf scores and gave you the opportunity to bounce around some creative strategic planning ideas. The meal itself was outstanding far more than you had expected. Write to Mr. Stockwell expressing your appreciation for his hospitality.

1 blank line

This letter demonstrates the block letter style. All typed lines start at the left margin. The date is usually placed two inches from the edge of the paper or two lines below the last line of the letterhead, whichever position is lower. Top, bottom, left, and right margins are set at 1 to 1.25. The standard text font is a serif font (Times New Roman, Garamond) unless otherwise noted.

1 blank line

This letter also shows mixed punctuation. A colon (not a comma) follows the salutation, and a comma follows the complimentary close.

1 blank line

If a subject line is included, it is placed two lines below the salutation. A subject line is optional although many writers find it an efficient way to introduce the content of a letter. The complimentary close is placed two lines below the end of the last paragraph. If someone other than the person signing the letter did the word processing, the letter should include reference initials. This line includes the initials of the writer (in capitals) and those of the typist (in lower case). If anything is enclosed or attached to the letter, an enclosure notation is also included. If a copy is sent to someone, a copy notation is added.

Sincerely, Complimentary close
