DATE: February 5, 2019 TO: All Employees FROM: Jeff Jenkins, IT Manager SUBJECT: ASKING FOR TECH SUPPORT CORRECTLY We in the IT department are doing our best to deal with your computer problems, but often you dont help us help you, making our jobs more difficult and creating a delay in correcting the problem. Please be sure the following system is employed when you need tech help: Employees shouldnt stop us in the hall and ask us to take a look at his computer. If you need our help, you should either email us at techhelp@bestcompany.com or call us at 555-2420. The reason is because we need to be able to create a service record in our database. If we dont have a service record, we dont get full credit for our work, plus you run the risk of us losing track of your request. When you report a problem, dont be so vague. Describe the problem in detail along with including any error message you are getting and your phone number. If your problem is urgent, put the word urgent in your subject line or you can say it when you call. Urgent does not mean that you dont know how to do something in Excel or wanting a software upgrade or wishing you had a faster computer. As far as follow-up calls go, dont keep calling to ask when your computer will be ready. We understand that you need your computer to do your work. Sometimes you have caused the problem by irresponsible use of the Internet and opening dangerous emails, and it can take a long time to clean viruses and other malware off a computer. Pestering us wont speed up our work. If you urgently need your computer, you can make a follow-up call or email, but you should let us know that you have already left a voice or email message about the problem.
