TO: Recreation Equipment Consultants FROM: Teresa Chenoweth Vice President, Residential DATE: January 3, 2015 RE: Travel Costs Our department has had a great two years in sales and design service, especially for our summer recreational equipment and the design services for residential backyard hot tub/pool sites. Thanks to all of your superb work, our unit growth has been much stronger than the growth in the Industrial Sales unit. In order to keep the overall Hibbler financial situation strong, the decision has been made to reduce some expenses in all the units. In our unit, we are facing cuts in our travel budget. Starting January 15, the travel budget for the sales representatives will be reduced 20 percent. Obviously, we don't want to hinder sales representatives while they are out getting new business, but some cost reductions are possible with the following guidelines: Combine dealer visits based on location rather than a time schedule as in the past. By seeing all dealers in a 150-mile radius during one trip, representatives can reduce airline costs. Stay at hotels in the second tier of our suggested list whenever they are available. Reserve compact rental cars whenever possible. In addition, design consultants will do more work online. Often graphic designs can be sent to the clients by email or fax, and a telephone conversation or meeting via Skype can resolve any questions. If a sales representative believes the design consultant needs to be onsite (for a big order like the recent Hampshire Court Condominium complex), send a written rationale to my attention. I will review these rationales carefully I have been assured that we will get priority for our expenses if our sales level continues to be strong. We have always been a highly motivated and active group, and I am confident that together, we will continue to provide the same high-quality service Hibbler is known for.
