HTM415 FINAL ASSIGNMENT SELECT THE RIGHT ROOM

You will use your knowledge from Chapter 13- Meeting Room Set Ups. Read details below and the use hotel designation given to select the right meeting room for each event.Create a powerpoint presentation of each scenario with your room selections and floorplans for each event listed below.

SETTING THE ROOM

You will be using the information that you have learned in this chapter to demonstrate how a propertys meeting space can be utilized to its maximum potential. You have been named Event Manager of a hotel with fairly limited meeting space. It is your job to fill this space as effectively as possible, so you have booked a number of functions. On Thursday of next week, your property will be hosting:

1. A morning (9:00am 12:00pm noon) training seminar for 50 distributors of a marketing company. The distributors will need to check in and will receive packets of information before entering the training room. A refreshment break will be taken at 10:30am. This is a 2 day training session.

2. An afternoon (1:00pm) press conference for a local official announcing her candidacy for Mayor. Attendance is projected to include approximately 20 news reporters, three television crews and the candidates key staff of nine people. In addition, the candidate has requested the provision of additional seating in the event the public wishes to attend. She has also requested the availability of floor microphones for a question and answer session.

3. A two hour afternoon (2:00pm 4:00pm) meeting of twelve directors of the board of the communitys hospital.

4. A local charitys evening fund raising dinner. A cocktail reception will be held from 6:00pm to 6:30pm with dinner following at 7:00pm. Dancing will follow from 8:30pm until midnight. Expected attendance is 300 people. Special requirements include a head table for 20 VIPs and the availability of an area of ticket collection and the viewing of prizes that will be raffled throughout the evening.

5. The following morning, the training session will be held from 9:00am to 12:00pm (noon), and you will want the room set up same as the day before as you have no overnight staff scheduled.

a) Which room(s) would be most suitable for each meeting? What factors did you take into consideration in making your decision?

b) What style of seating would you choose for each meeting? Draw up a sample floorplan for each function with all details and requirements shown.
