Hi Class,

Going over the case description, I have chosen to highlight the following facts of this start-up business: I have made my ethical standards clear to the Board of Directors, advertisers and the users of the software and I have complied with the laws of privacy and have not allowed targeted advertising.

From these points, we can make the following assumption: Since we hired the new VP of Marketing, who feels strongly about lifting some of the rules off of advertising, we can assume that she had something to do with this sudden infiltration. Although we cannot accuse anyone without knowing for sure, I would contact her directly and schedule a meeting alone to ask if she had anything to do with this. If at our private meeting she discloses that she was responsible for this, I would tell her that she needs to respect and adhere by the policies and procedures set forth because they are there for a reason and match the background of why I came up with this business in the first place. If she cannot see herself contributing to the team and aligning her skills and qualifications with that of the position she was hired for, she will have to make this decision.

If she says she had nothing to do with this sudden infiltration, I will then schedule an emergency meeting for all board members including the IT Dept and the VP of Marketing. In this meeting, we will have to come up with a damage control communication medium to our users and their parents. For the sake of this case, I would decide on a formal letter mailed to all users informing them that this infiltration was not intended and that we are securing our database. The letter should include an introduction into what happened, how it happened, what we are doing to improve, ensuring that it will not happen again and a small incentive (For example:$5 off a lunch item at a restaurant).

The rationale of doing this is to find out what happened so that we can solve the problem. Solving the problem requires knowing what happened and implementing the steps of problem solving so that everyone involved will have a thorough and transparent solution that will prevent another problem like this from happening again. Problems can arise in any situation, but if we have good policies and procedures utilizing the problem solving process (Simon, 2018) in place that will help us from identifying the problem to following up on the solution, we can guarantee that the same problem most likely wont happen twice.

Thank you,

Reema
