This AOA diagram is based around our first team project, with the main goal or key deliverable would be to have a successful completion of a concert at the Summerfest music festival. Before anything can begin realistic budget planning is essential because you need to consider the cost of all expenses related to the infrastructure, logistics including any contingency, talent buying, other personnel, etc. After planning the budget, we need to find sponsors or stakeholders to help provide the actual funding for the concert. Without the proper funding, the concert will not go as planned and this is a critical part in setting the tone for the rest of the concert. The next step is budget allocation, which basically means where the money will go for each aspect of the concert. Some aspects like talent buying or logistics can get pretty pricey, so knowing where how much of your budget is going is something that absolutely needs to get done! After figuring that out, a logistics strategy is something that is essential and is unique depending on the specific needs of the artist. This must be carefully controlled, making use of the best means of transportation available to ensure that deadlines are met. Logistics teams plan for any delays and need the adequate resources, because a poorly planned logistics strategy can have disastrous results.
After a logistics plan is in place, then we are able to get the proper event insurance and permits needed for the venue itself. Without the necessary permits your event is open to being shut down by the authorities, and without the proper insurance you're leaving your event open to liability. The next aspect of the schedule is planning the set-up portion of the concert as well as getting the correct equipment needed to make the concert a success. After getting equipment, its important to finalize contracts with the talent and essentially to ensure that they cannot back out of the concert and know what is required from them. Once we get that finalized, then we can start the set-up and rehearse portions of the concert including practicing songs, choreography, lighting, and stage presence. Its important to get all of these to be almost perfect, because for the concert there will be only one try and no do-overs. After the rehearsal is the final product of the whole project, including the actual concert and the take-down/clean-up.
