Need assessment on Social Media use in business organization

Social media is a vital tool in achieving the goals of an organization. Social media are applications based on the internet that helps in creating and exchanging user-generated content. The business world has become so competitive, and thus there is a need to implement social media use policies in running business activities. Social media helps connect the organizations audiences, brand building, empowering customers, and solving personal relationship issues (Alalwan, 2017). There is a need for employees and all stakeholders to be trained on how to use social media to conduct business activities such as customer services and marketing of products which helps improve productivity and customer satisfaction. I conducted a need assessment to identify the gaps which exist in social media usage and business organization. I measured the discrepancy between the current business organization condition and the anticipated goals. Many organizations desire to improve on business performance in terms of profitability, productivity, and delivering services that meet the needs and wants of the customers and all stakeholders. Considering the benefits associated with social media use in business, an organization needs to train the employees on how to use social media in conducting organizational activities. I specifically conducted the need assessment to clarify the problems or gaps and show the need for training on social media use as an intervention in solving business issues.

Most business organizations have the idea of social media usage, but they do not know how to effectively and efficiently utilize it (Di Virgilio, 2018). The need assessment helped me make informed decisions about the need for the training program on the employees, which will help improve the performance and achievement of the desired deliverables. It is always a desire of every business organization to make a step forward in terms of its performance, and the usage of social media can be a way of achieving this goal. I aimed at establishing the perceived needs, relative needs and expressed the need of the organization. I dont think business really can maintain their viability in the market without using social media today. Social media has many advantages, including improving brand awareness, customer engagement, customer loyalty to the organization's brand, customer satisfaction, and educating the customers about the organization's products and services through videos and articles. Through this, customers get to understand more about the products and use them more efficiently, and this helps to reduce future questions about the product (Sajid, 2016). For instance, a business can advertise its products through social media; this enhances the products to be known to both current and potential customers. Social media also facilitates hiring, sharing positive news, enhancing the organization's competitive advantage, and receiving direct customer feedback about the products and services of the organization.

Social media use is cost-effective to the business since it is a free resource for marketing products and services. During conducting this assessment, I engaged all stakeholders and asked them questions like how do they connect with their customers, their satisfaction with the current facilities of interaction within the organization, how do social media platforms such as Facebook, Youtube, Twitter help them to interact with their customers, what are the plans of the organization is interacting with customers, what plans are there to provide better management of the business activities, how willing are they to use social media to develop their business. After conducting my assessment, I finally disseminated my findings to the organization management team to get their opinions and consent on the training program and provide me with the necessary support during the program implementation.

Programs objectives

An objective is a short-term goal which a program aims to achieve within a specified period. A program training objectives are the outcomes expected to be achieved at the end of the training. For this program, I will aim at achieving the following objectives; To improve the skills of the employees on the usage of social media in the business organization, to create awareness on the benefits of social media use in conducting business activities and the consequences associated with improper use of social media platforms and to evaluate the most efficient and cost-effective social media platform for business use (Dreher, 2014). By the end of the training, I expect that every stakeholder will have gained the necessary skills concerning the use of social media in achieving the goals of the organization and the implications of misuse of social media. Since training of all the stakeholders is not easy and not all will be willing to participate, I will start with a small group that will be ready, and others can join when they realize the benefits of the training.

Project plan

This is the breakdown of how the training activities will be conducted in achieving the anticipated objectives. The project plan involves organizing activities, stakeholder participation, delegating roles and responsibilities, monitoring and evaluating plans for the program. The program is about imparting knowledge on social media use to employees to improve customer service delivery and improve productivity. Training of employees is a complex and tedious process, and it requires one to understand the need for the program and the target population. It involves clearly defining the training objectives, development of training materials, the training methodology, and the training plan. In relation to the organization's need, I will gather the necessary resources such as human resources (instructors and trainers), financial resources, and necessary materials such as brochures and posters in conducting the training. I will train the enumerators who will help me in data collection during the program execution period.

On employee training, first, I will recognize the employees for the achievement they have made so far. This will give the employees the morale to participate more and own the program. Secondly, I will select a few employees and give them titles like 'ambassador,' which will promote the brand activities awareness among the colleagues and others outside the organization. This will help recruit more employees into the program. Thirdly, I will use incentives and gamification techniques to hold friendly campaigns and competitions like hosting a competition to see who can offer the best idea on marketing using social media. Finally, the winner will be rewarded. I will ensure that everyone is aware of the social media policies to be used when marketing their products and training them on how to upload business content on social media platforms. I will hold workshops, online meetings using video conferencing and give articles for them to read in their own free time.

I will conduct this training off working to avoid interrupting the everyday activities of the organization. I will engage the organization's management in monitoring and evaluating the progress of the program to track the performance and the expected outcomes of the program. I will use online tools like webinars to reach out to many employees because they are cost-effective, time-efficient, and more minor burden modes of training. For successful training, I will use skilled trainers who have experience in training on social media use in marketing to coach and mentor trained employees. This is to ensure everything runs successfully with no or limited errors among other hindrances. I will conduct an impact assessment to evaluate if the desired goals of the program were achieved and if they can be articulated to the training process. After the training process, certificates will be given to those who will have completed the training process. The program results will be communicated to all the stakeholders for decision-making on social media usage by employees at work (Parveen, 2012). I will encourage all stakeholders to promote the program's sustainability since it is of their benefit.
