Identify a process that involves the use of technologies at your workplace that you think can be enhanced. It does not have to be extremely technical, but most processes in large organisations nowadays involve the use of some form of information technology. Be sure to find one that is simple enough that you can address within the constraints of the academic quarter.
The objective here is to enable you to reflect on your job in a systematic way. Often times, we have problems with the way things are done, leading to frustrations and inefficiencies, although these are not necessarily applicable to everyone in the organisation. A process that is tedious to some may benefit others. For this part of the assignment, think of a process improvement that can enhance your work conditions and make life easier for you.
Give a brief description of the process and what problems do you notice in terms of business-IT alignment and/or general use. This will be followed by a brief write up on how you intend to improve it. You may consider the factors that led to a less-than-perfect business-IT alignment for instance. The process identified does not have to contain major problems if there aren’t any obvious ones. Based on your experience on the job, simply suggest ways to improve the process. You can also suggest ways to improve a current process that does not necessarily have anything highly problematic. Essentially, you are trying to improve the process by applying the flowcharting technique.
Draw two flowcharts to depict the processes – one on the existing process, and another with your proposed. Paste the flowcharts into a word document, along with your process descriptions.
Specifically, your write up should comprise at least 3 major parts:
- A description of the process and/or problem
- Two flowcharts the business process in your organization
- A brief write up on the new processes in the new flowchart (i.e. justify your changes)
