Part I: Project closure
You are facing an unexpected circumstance that affects project completion and you need to determine a course of action to get back on track and complete in time. For the situations described below and explain:
1. What seems to have caused the problem?
2. What would you look at and review in determining the root cause (your rationale and which elements of the project plan
would you refer to)?
3. What are your alternatives and what are the benefits and trade-offs of these alternatives? and
4. What is your recommended course of action and how do you minimize the downside of the selected alternative?
Situation 1: Project schedule management
You are two weeks away from completion and the client has just notified to you that your project needs to be finished within a week of the time allocated as an unplanned task needs to be included at the end to meet the quality requirement. The client has asked you to provide the new schedule with the new critical path and present to him the possible course of actions.
Situation 2: Project cost and resource management
Your project has consumed 90% of the budget but only have completed 75% of the project. It is likely that you will go over budget consuming the contingencies and perhaps exceed the entire budget at completion. You are thinking of different alternative course of actions to deal with the situation. Consider that you are preparing to discuss with the client possible alternatives and recommend an alternative to the client.
Part 2: Project change management
Your project team has not been working closely with the user teams (users of your project outcome) and fear that there will be many errors and complaints once the project is completed and handed over. You are currently rushing to complete the project but see the need to check readiness to close.
Critically analyse how you would approach change management planning for your project. What, how and when you would consider consulting your stakeholders, devising plans. Provide rationale for each of your recommendations.
From an organization point of view, explain why change management is required for your project and where would you be without it (your risks of not doing it)
