Vacation Request Process
The vacation request process starts when any employee of the organization submits a vacation request. First, the vacation request is registered in an Excel spreadsheet by the Administrative Assistant. Next, the Administrative Assistant makes a copy of the request. She keeps one in a folder by her desk. The other copy is sent to Human Resources, who checks the HR system to see if the requesting employee has sufficient remaining vacation days. HR annotates on the form whether the employee has enough days and sends the request back to the Administrative Assistant. The Admin Asst updates her copy of the request, then sends the HR-annotated request to the immediate Supervisor of the employee. If the employee does not have enough vacation days, the Supervisor rejects the request. If the employee has enough vacation days, he checks the department calendar and decides if the employee can be given the time off during the period requested. The Supervisor either approves or rejects the Employees vacation request. If the request is rejected, the application is annotated with reason for rejection. It is sent back to the Administrative Assistant with the reason for rejection. She updates her spreadsheet with the rejection information and the request is returned to the employee with the annotation added. If the request is approved by the Supervisor, it is sent back to Human Resources, where they update the Employee record to note the approved vacation days. Then its sent to the Administrative Assistant who updates the department calendar with approved vacation days. She then notifies the Employee of the positive outcome (request approved).
