The owner of Forever Treasures, a growing antique shop, wants to bring the store into the twenty-first century by upgrading every system. The owner is not afraid of using the latest in technology but does not know what options are available.
Observations:
Inventory in the warehouse is disorganized making it difficult to locate items quickly.
The warehouse manager rarely leaves the office because he is swamped with sorting out order slips, inventory counts, product arrival verification, and packing-slip creation for customer shipments.
Several warehouse workers expressed frustration over the fact that their paychecks have not been accurate based on the hours they worked.
Warehouse workers are also concerned that they cannot keep up with tracking inventory at the rate that it is coming and going.
The in-store clerks reported that it is virtually impossible to select quality items from the warehouse to be put on display for sale due to the chaos in the warehouse.
Ringing up a sale takes a long time because they must manually update the inventory cards with quantity, price sold, and description of item as well as manually updating the sales register with the same information plus the customers name and type of payment.
The in-store clerks are worried that a new fancy computer system will be too difficult to learn, and they may lose their jobs.
The store cannot accept credit cards, but they can accept checks and cash.
The owner spends most of her time dealing with inventory and personnel issues. She commented that she has little time for searching for valuable antiques and acquiring them at a good price. She is also having a hard time finding qualified buyers for larger, priceless antiques.
Assignment:
1. Analyzing the Data: Based on the bulleted list of information you gathered during a site visit, create flowcharts tracking the flow of information/tasks and pin-point areas where information/tasks are not flowing appropriately.
Example: Your inventory management system is currently a manual system. This presents many problems such as losing inventory cards, access being limited to one person at a time and, redundancy during check-out. This is how your current system looks (create a flowchart showing step by step what locating/updating an item or item card in the warehouse may look like).
2. Suggest Alternative flow of information/tasks: Create flow-charts tracking an alternative system flowchart that shows information/tasks that you think would work better than the current system.
Example: Continuing from the example in the previous step, you could say I suggest you purchase an inventory management system. With this system in place, here is how your inventory management would look (Then draw the flowchart showing the improved process).
