Communications include letters, memos, proposals, evaluations, emails, IMs, tweets, texts, and blogs. Often annual employee evaluations depend, in part, on how well employees write and respond to communications. Communications are legal records. These communications should rely on clear and concise writing with specific details. This also means eliminating passive voice, a strategy I will ask you to follow in all of your writing this semester (review handout, Writing Clearly and Concisely).
Following the information covered in your textbook readings and the handouts/samples posted in Blackboard, choose one of the scenarios listed below and create a professional e-communication. Be sure you meet the required guidelines below.
(1) Your e-communication should meet formatting and additional guidelines included in the chapter reading related to understanding and communicating with your audience, style, responding to critics -- especially, Achieving the You Attitude,(see pages 139-142) the Common Types of Business Letters, Customer Relations Letters, Complaint and Adjustment letters discussed in the textbook readings.
(2) Your e-communication must be professional, clear, concise, fact-based, persuasive, informative, restate the problem, provide details and include a clear and specific plan of action to present to your audience.
(3) See samples in your textbook. Below are several scenarios/problems. You are to choose one of the scenarios.
For example, names of those involved, names of schTools or organizations or hospitals, location, specific statistics about the problem, etc.; you must fill in and make up all details necessary to complete your e-communication. Remember, details are important for your audience, and the You Attitude is important for the success of this assignment.
Your Parent-Teacher Association (PTA) just raised money to fund a wellness trail at Bale elementary school for the school year, but the principal wants to use the money for a week-long teacher appreciation celebration. Your audience is the principal. Write to the principal and explain why she/he cannot use the funds for the teacher appreciation celebration. Remember to use the You Attitude, fill in details, and include (1) a brief plan of action on how the PTA will use the funds they raised for the wellness trail; (2) how it will positively impact children and (3) how the PTA can help the principal raise funds for the teacher appreciation celebration. The e-communication is from the school PTA. Proof your e-communication carefully.

As the medical director you must send an e-communication to the chief executive officer and provide specific details to explain (1) why the departments supply budget was cut using statistics and factual information; (2) the $ amount you must cut; (3) your plan of action on how you will specifically reduce your annual budget by 35%. Be sure and use the You Attitude. Your audience is the hospital CEO. Proof your ecommunication carefully. Read the samples posted in your textbook. Remember that administrators and supervisors are busy people; so provide specific and factual details to your audience in a clear and concise manner that makes sense to them. Dont assume they have any information about your situation. And they are relying on you to provide the leadership to offer a clear, effective and reasonable plan of action. The youtube video posted in your weekly folder does a nice job of talking about understanding and reaching an audience. Be sure and proof carefully for grammar problems. Correct writing counts!
