Task 3 - Memo report You are the Assistant to Lin Woo, Personnel Manager of Cartwright Pty Ltd, a medium sized business. You have been asked by Lin to report on the Performance Appraisal system that was introduced to the Sales and Marketing department of the organisation three months ago. Lin has asked you to write a memo report to her so that she can inform the senior executive team how the system is progressing and whether any changes need to be made. Following interviews with several managers, supervisors and staff, you write up the rough notes below. These provide you with a general idea about the topic and the context in which the report is being written. Rough notes following the interviews about the Performance Appraisal systems: 1) Cartwright Pty Ltd introduced the Performance Appraisal (PA) system to sales and marketing three months ago. The employees are appraised by their supervisors or managers who use a general form designed for all staff. The supervisors and managers have been supplied with the forms as well as instructions on how to use the forms and conduct the interviews. 2) Eventually, the PA's will be linked to salary reviews and promotions. The results will be examined before salary increases and promotions are confirmed, but this will not happen for the next review which is going to be held this month. 3) Based on interviews with managers, supervisors and staff, there are several problems. The marketing managers are not very pleased with the forms because they feel they are more appropriate to the sales staff and not easy to apply to the marketing jobs people are doing. They would prefer to have the personnel department redesign the forms for marketing. Some of the employees were not happy with the interviews because they felt that the managers and supervisors who conducted the appraisals were not very good at giving feedback. 4) The staff generally thought that if the PA's were going to be examined for their salary reviews this would be unsatisfactory because the forms didn't really reflect their performance in teams which is a large part of their jobs. 5) Recommendations - that we add a section to all forms to include team relations and that we adapt the forms for the marketing employees. We should also conduct training sessions for all supervisors and managers on how to effectively conduct the appraisal interviews 6) We should also email all staff to let them know that the PA's will not be taken into consideration for salary reviews and promotions this month. The salary reviews will have to wait until we have ironed out the problems, hopefully by the next review period
