Project information Sheet 2Load details Load preparation - The loads are prepared and ready for loading on to the vehicles in theirrespective originating warehouse locations. You do not need to worry about the make up eachexact load. Warehouse locations there are no other locations required or used in this project Loading / Unloading time at the originating warehouse / depot - It takes up to 60 minutes toload each vehicle. The vehicle can remain on site at the warehouse for up to 2 hours in total. Thisis within the scope of the project. Loading / Unloading time at the event site once the vehicle is at the required location withinthe event venue, it takes up to 30 minutes to unload those vehicles that are LEAVING the site andup to 30 minutes to load. You need to allow time for the vehicle from its arrival at Finsbury Park toget to the right place on the event site! Those trailers remaining on site will be unloaded as and when required by the event staff and thisis outside the scope of the project. If there is a delay unloading or loading any (and only) trailer due to leave the site caused by theclients site team the client team are potentially liable for a waiting charge. Unloading time at the returning warehouse / depot - it takes 30 minutes to unload the vehicles, and this is within the scope of the project. You do not need to think about- the origin of any vehicles prior to arriving at any of the originating warehouses-the destination of any vehicles after their departure from the site after leaving theirtrailers / unloading and departing- the origin of any vehicles prior to arriving at the event site to collect their loads / trailers- the destination of any vehicles after unloading and departing from the return warehouse Trailers are not collected from the originating or left at the returning warehouse You need allocate each vehicle an arrival / departure time slot to and from the venue before andafter the event. Access is via Endymion Road only but the event site itself is located elsewhere within FinsburyPark The drivers paperwork is a delivery note and load manifest Costings You only need to concern yourselves with the inclusive costs as given and these include All vehicle variable costs e.g. diesel fuel, maintenance, tolls etc. All vehicle fixed costs - including drivers salaries, expenses, training etc. and vehicledepreciation No other staff costs are required. Project costs (except for trailers that remain on site) are only incurred from the time each vehiclearrives at the originating warehouse until it leaves the event site following unloading, and fromwhen the vehicles arrive at the event site (after the event) until unloading is completed after theyhave travelled to and arrived at their respective warehouses. All costs are based on a mileage rate plus a day rate for those trailers that remain on site. Theseare charged per 24-hour period. There is an additional hourly rate for vehicles that have arrived at site on time but are delayedunloading / loading and subsequently leaving as the event staff cannot position them or areunable to unload or load the vehicle this cost may be levied on the client. You might want tomake an allowance..... but this has to be explained, Cost details are below.Trailer type Pick up Per MileWaiting timehourly rateOn siteTrailersOn-siteDaily RateRefrigerated Vehicle 1 K&N Reading 3.50 8.50 1 50.00Flat bed Vehicle 1 Manchester 2.75 7.50 0 35.00Flat bed Vehicle 2 Birmingham 2.75 7.50 0 35.00Curtainsider Vehicle Manchester 2.50 5.00 1 25.00Curtainsider Vehicle Rochester 2.50 5.00 1 25.00Curtainsider Vehicle Rochester 2.50 5.00 0 25.00Additional things you might need to know (or not)Drivers Night Moves drivers are fully trained and experienced professionals. They drive all year in allweathers. They know what they are doing. They have the ability to understand weather reports, drive in the rain, read maps, use satnav, work out the best routes, avoid accidents and incidentsand deal with many other issues on the road. It is their job. You do not need to know about drivers hours, regulations, the safety equipment carried in the caband vehicle etc. Drivers are all equipped as standard with all the PPE equipment required for their work. Theyknow they have to use it and how to use it. There is no additional PPE required for this project When they are not driving drivers can park in service stations and if necessary, sleep in theircabs. You do not need to think B&Bs, hotels, restaurants etc. None of this is relevant to thisproject. Drivers who do not show for work or are ill (highly unlikely) are replaced by other drivers. There is no additional training required for this project. For all trailers, the driver is responsible to ensure the loads are secured and safe. Drivers of vehicles with flatbed trailers and cranes are qualified and able to operate them and canunload /load their trailers on site Drivers of those vehicles with trailers do not get involved in loading or unloading of those trailersat any location other than to ensure safety of the loads. All drivers (and onsite staff etc.) are trained, insured etc. Any other associated costs are included Travel / Journeys In todays road haulage business, planning the routes for LGVs (Large Goods vehicles) is carriedout by computer ahead of the journey. It will calculate the most effective route, i.e. the shortestand quickest route using roads best suited to large vehicles, and will avoid town and city centresetc. However, LGV drivers have access to Satnav and are able to make their own route decisions. They will always try to use dual carriageways and motorways etc. wherever possible. Delays due to weather are rare - fewer than 1% of journeys are affected. If very bad weatheroccurs, it adds on average 10% to the journey time and you need to consider if it should beintegrated into your timings by default. Delays due to traffic less rare and fewer than 5% of journey are affected and on average add 15%to the journey time and you need to consider if it should be integrated into your timings by default. The Vehicles Lorries / LGVs / HGVs / Trucks / Tractor cabs / Units / Vehicles etc. all are essentially the sameor part of the same thing for this work! LGVs run on diesel. Night Moves operates under FORS Gold Scheme and has ISO 9001 and ISO140001 and is anIIP. Night Moves vehicles are less than three years old, routinely serviced and maintained, fullyinsured and MOTd. They are highly unlikely to break down or get punctures. If they do, a support van is sent from theclosest Night Moves Yard, or a local dealership, or a tyre service business to affect a repair. Invery rare and extreme cases a replacement vehicle and tow lorry are sent. It may be different vehicles doing the delivery and pick up.Vehicle / trailer types See below All vehicles are articulated lorries and consist of a tractor unit and a trailer. The tractor unit canseparate from the trailer so the trailer can be left on site and the tractor unit leave to do otherwork.Tractor unit
