Q4. For the past few weeks, all your spare time has been spent working on arrangements for the annual meeting of the Pakistan Merchandisers’ Association. You are the arrangements chairperson.
In today’s email comes a message from Sheharyar Ahmed Khan, who is on your committee and has also been working diligently. Sheharyar is the vice president for administration at Ahmed Foods, Inc. In his message Sheharyar asks for a special favour. Company will have 13 people at the meeting. All of them will attend the banquet Friday night, and they would like to be seated together “at a long table as near the head table as possible.” Sheharyar reasons that the request is appropriate because he is scheduled to become a member of the board of directors at the meeting.
You will have to deny the request. It just is not practical to reserve seats at the banquet. If you did it for one board member, you would have to do it for all; and there are 12 board members. The board has adopted a no-reservation policy from last year, as over 800 people milling about looking for their reserved seats simply would be impractical. Also, the current practice of allowing the members to sit with people they do not know improves the fellowship the association seeks.
Task: With the above information in mind, you will write the message refusing the request. As you will be working with Mr. Khan in the years to come, use your most tactful writing skills and write him a letter (Full Block format with closed punctuation style) refusing the request. The letter should be of 350- 250 words
