Respond to the following topic with an email request. Please be sure to use your own words; do not copy language from the scenario.
Scenario
You are the marketing supervisor with MultiOptics Industries (MOI), a mid-sized Marketing services company operating in Canada. You are based in Toronto but are now preparing for the conference where you are involved in the launch of Objet-Eden 260, a manufacturing-grade 3-D printer. The conference is taking place at the Quebec Conference Center located in Quebec City.
Your client, MediLabs Associates, is anxious that the launch of the new printer goes well as there will be many potential new customers present at the conference.
You have just arrived in Quebec City via Quebec Air Airlines with a crew of 3 event technicians who will work on the conference set up at the Conference. At the client site, you unpack the shipping boxes only to realize that one box, containing all the advertising posters and of the brochures are missing.
After calling the airline several times, you discover that the boxes have mistakenly been placed on a flight to Vancouver. You will not receive the boxes until Thursday. It is now Monday. You need to have the materials to set up prior to the start of the conference. And needless to say, the client needs to have the brochures in advance to give to their sales team who will also be at the conference.
You sit back and consider the situation. Your company is paying a team of three technicians to be in Quebec City for two days for the set up and then the maintenance of the conference booth. The clients contact, Jefferson Gil, expected to start using the marketing materials on Wednesday and is now stressed that there may be a delay.
Weighing the costs all round, you wonder if it would not be more cost effective to do a quick print of the marketing materials and brochures materials locally. After quickly contacting local suppliers, you discover that you can do a quick print at a lower quality, but in time for the conference for the following prices:
- brochures: $500/2,000 (you need at least 10,000 brochures)
- Posters and other marketing signage materials: $150/per item (you need at least 10)
You would need a sufficient supply to use until the original order arrives on Thursday. The total cost would be $4,000 plus taxes and delivery
You think that your company should be billing Quebec Air for the extra costs to your company for the purchase of the materials and you make a mental note to follow up with the airline upon your return to Toronto. However, right now you must obtain approval from your boss, Ms. Sandra Tone, for the purchase of the materials in Quebec City.
