SECTION C: LETTER WRITING

You are the Human Resource Manager of Metal Tech Sdn Bhd. On 7th February 2022, you had conducted an interview for the vacancy of Sales Engineer and it was attended by five candidates. One of the candidates has been offered the job, and you are required to send letters to another four candidates who were unsuccessful in their application.

Compose the job application rejection letter and address it to Mr Mohd Rafiq Bin Abdullah, one of the rejected candidates. You have to ensure that a proper format is used for writing the letter, such as an opening paragraph, body or development paragraphs, and a closing paragraph. You should write at least 250 words.

In your letter, you should:

1. Design the letterhead of Metal Tech Sdn Bhd.
2. Use the full-block format.
3. Avoid negative words.
4. Include a subject line that identifies the topic of the letter.
5. Express appreciation to the candidate for attending the interview.
6. Reveal the bad news and convey empathy towards the candidate for his unsuccessful job application.
7. Explain a reason for rejecting his application or a reason for accepting the successful candidates application.
8. Inform the candidate that his cover letter and resum will be kept by your company for a period of 120 days and his application will be re-considered in the event another position suitable with his expertise and experience becomes available.
9. Request him to update his contact number and corresponding details if there is any change for ease of communication.
10. Anticipate future relations with the rejected candidate and mention good wishes.
