Analyze/Revise Departmental Procedures

1. Obtain a written job procedure on any tasks and evaluate it based on following factors:

a. When was the last procedure revised? Does it actually mirror the work performed?

b. the procedure uses action verb

c. the procedure is written in step by step method and easy to understand

d. the procedure indicates examples where necessary.

2. Based on your findings, analyze and revise the procedure. Make sure that it includes:

a. Title of procedure

b. Purpose,

c. Summary

d. Materials/ Equipment needed

e. step-by- step procedure.

B. Coordinate the staff and daily operations, monitor, and review work. Compile statistical

data reporting and perform quality review of documents.

1. a. Assist in coordination of the HIM staff and daily operations of paper-based and

electronic medical record

b. Monitor and review work performance to assure standards for paper and

electronic medical record are met.

c. Compile statistical data for management reporting

C. Monitor staffing levels, turnaround time, productivity and work flow.

1. Meet with the Director/ Manager to discuss procedure/process use to monitor staffing

levels and productivity and workflow. Submit a written report of your

discussion.

D. Recommend resources (equipment and supplies) to meet workload needs

1. Determine the type of equipment and furniture use in HIM Department.

2. Select one equipment and furniture.

3. Prepare a requisition for each piece of equipment and furniture to include: VI.D.1 (6)

a. brand name

b. type of equipment/furniture

c. description/model no., etc

d. unit price

e. total price

4. Prepare a list of supply needs for the HIM dept. at the assigned facility. VI.D.I (6)

5. Submit the recommended list of supply needs to the HIM director for review. VI.D.I (5)
