Case Study: The Process of Applying for a Grant

Agricue is an organisation that foster sustainability in agriculture. Their focus is to raise awareness of ecological and suitability issues and undertake indigenous species conservation and ecosystem restoration for the specific country. Their model is to reconnect people with nature and promote a sustainable lifestyle. As more land areas are being repurposed for human consumption in relation to the growth of the human population, it is imperative to create a co-habitation between humans and other living species within the environment. One of their passion projects is partnering with start-ups or existing organisations exploring sustainable agriculture through research projects or education/demonstration projects.

The grant is awarded to selected candidates by the Agricue Administrative Council (AAC). Proposals must adhere to specific criteria for a given region or country. To start, the potential candidate must articulate their project initiatives by outlining certain content that aligns with agricultures enhancements and sustainability. The potential candidate will be required to submit a call for a preproposal. These preproposals are reviewed by a panel of AAC which consist of experts in the specified field based on the project. The AAC reviews all preproposals during the winter months. Once the reviews are done, all the preproposal authors will be notified in the later winter months of the following year. Selected projects coordinators will be mailed a call for proposal and invited to develop full proposals to be submitted within the later part of the following month. The Technical Committee will review the proposals and will advise recommended candidates to the AAC. The AAC will convene to review the recommendation and award select candidates with the fund during the mid-summer months. All proposed proposal authors will be notified of the decision. Awarded proposals would receive funding in the fall of that year.

The preproposals must address sustainable agriculture issues of current and potential importance to the specified region or country. The intent is to build a resilient agricultural system from these projects. These proposals should clearly outline the expected outcome for the project and how they will assist the region/or country in working toward the broad-based outcomes defined by the Agricue.

To obtain a grant, the potential candidate needs to determine which grant program is the right objective for their initiative. They will review the criteria for each of the grant programs on the Agricue website. Once the appropriate grant has been selected, they will access relevant resources to start their grant application. Such resource includes information on a call for proposal. The potential candidate will review the guidelines to ensure the timeframe are adhered to. The potential candidate will review the previously funded grant in their topic. Agricue also provides grants that were funded in last grant cycle.

The preproposal application is entered through the Grant Management System (GMS). The potential candidate must create an account on the application site if they want to submit their proposal. Each country has a specific GMS; the potential candidate must create their account to the appropriate jurisdiction for their application. Some GMS requires demographic information. Agricue is committed to ethical openness, inclusiveness, and diversity in all its programs, policies and procedures. By providing the demographic information, Agricue can monitor how Agricue team is performing. After their account is created on GMS, the potential candidate can submit their preproposal.

The preproposal anatomy consists of the preproposal application, cover and the body of the preproposal. A relevant title of a max of 150 characters and a project description of a 160 character limit. The description should be one or two sentences describing the project. This description will be used to summarise the project for the reviewers. For the cover, it must indicate the proposed start and end dates. The start date cannot be earlier than the second month of winter from the approved year. An estimate of the total funding request, which can be categorised in these amounts:

• Less than $50,000
• $50,000 to $99,999
• $100,000 to $149,999
• $150,000 to $199,999
• $200,000 to $250,000

If long-term funding is required, a justification and a brief work plan for additional funding cycles beyond the three years from the initial funding cycle. The potential candidate will need to indicate whether the project focus is a research project or an education outreach/demonstration project.

The rest of the preproposal consist of the project summary, project objectives/outcomes, relevance, method/approach, team members, relevant stakeholder involvement, long-term funding justification and work plan. At the end, the author will need to convey how their project will contribute to the other two aspects of sustainability, even if the project primarily focuses on one part of sustainability.

Once the application is closed, registrants will be directed to a survey seeking feedback about the application process. This is to help understand what works what needs to be improved.
