An HR payroll specialist is in charge of entering payroll data each week and notices that a manager is awarding extra work hours only to certain employees in the department. One of those employees is the manager’s nephew. The specialist seeks out the payroll team at a location and time that provides privacy and briefs the team leader on the evidence.
The leader of the payroll team has a private meeting with the manager and tells him that he must gain permission in the future before extra work hours are assigned. She documents this meeting in the manager’s file. She then meets with the manager’s superior, explains the various ways in which this practice has compromised the organization’s commitment to fairness and transparency, and persuades him to transfer the manager’s nephew to another department. In the next team meeting, she announces that the team will conduct payroll audits of all departments and be alert to the way overtime is being distributed in addition to any other policy violations.
