Write an email using direct approach
Instructions:
Like everyone else at your marketing firm, WeSellYou, you have been working from home during the COVID-19 pandemic. With so many businesses needing to update their marketing materials and websites to respond to COVID restrictions and closures, its been a busy and stressful time for everyone at your firm, and youve all been badly in need of a break.
Luckily, you have managed to make a camping reservation at Porpoise Bay Campground, one of BCs provincial campsites, from July 1-3. You have been able to take the days off, but there are some key clients who might have questions and who may need to contact you while you are away (July 1 is a holiday, but July 2-3 are business days). You are particularly worried about your biggest client, Cinemax, because their movie theatres in BC will be re-opening soon and you have been the lead marketing consultant on their grand re-opening campaign. You arent sure there will be a good cell signal at your campsite, so you probably wont be able to check your email or answer phone calls while you are away. You will need to ask your closest colleague, John, to cover for you, just in case your clients do have questions. If he agrees to cover for you, you could give your clients his email address and phone number so that they will know to contact John instead of you while you are camping. You should probably ask him to check in with Cinemax as well while you are gone, so that they know that their campaign is ready to go and that their needs are well taken care of.
Your Task:
Write a direct-approach email to John requesting that he cover for you while you are away. Keep in mind that John is also busy with his own clients, and unlike you, he hasnt booked any vacation or had any time off during the pandemic. So you will want to ask for this favor nicely and make sure it is worth his while.
Direct email tips
- Be sure to review key sections from Chapters 1-4 in our textbook about how to properly structure a direct-approach request message. (Picture is attached below for the structure)
- Remember to set up your document as if it were an actual email: you must include To, From, and Subject headers.
- Make sure to establish an appropriate tone (professional, conversational, positive), include all necessary information, and exclude any irrelevant information.
- Analyze your audience, and consider your purpose carefully.
- Use positive language and ask yourself how you would react if you were the recipient. Its a good idea to read your message out loud, in order to gauge its impact and overall tone.
- Make sure your message is complete, detailed, and precise, but still concise.
- Proofread carefully: you will be graded on spelling and mechanics, tone and style, grammar, format, and content. Regardless of the content of your email, I cannot pass an assignment that has significant problems in these areas.
- Be creative! You can make up and add any plausible details to your message.
