Consulting Practicum Scenario (same for every question): A small university serving about 7,000 students is currently looking for a more efficient process for students to register for their courses each semester more efficiently. The small university currently allows course registration by physical mail using the United States Postal Service (USPS), by phone, or in-person. The university would Ilke to transtion to a more modem process (similar to GMU's PatriotWeb system) to be more competitive in the higher education market.
Currently, the process for how students register for their courses is as follows:
The university decides which courses to offer, along with how many sections for each course
This includes the days and times each section will be offered, the minimum and maximum number of students per section, the assigned instructor for each section, and the location of each section
Once decided, the university will send out a physical course catelog by mail to all active enrolled student in the university for registration
Students can register for the courses they want through any of the following three methods:
Mailing in their registration form to the university,
Calling by phone to register, or
Coming physically onto the university's campus to register in-person
When registering, the students will need to provide the list of courses they want to register for
They will also need to provide payment at the time of registration
If a course the students are registering for is full, they will have the option of choosing a different section or they can be placed on the waitlist
If the student registered by mail, and the course is full, the university will call the student to determine what the student wants to do (register for another section or get on the waitist)
If the student does not answer the call, the university will leave a voicemail and call them again in 48 hours
When a spot opens up in a section that was full, the registrar office's university representative will call the student at the top of the waitlist to confirm their registration
of the student does not pickup, a voicemail will be left.
The student on the waitlist will have 48 hours to respond
If the student does not respond or declines the registration request, they will be dropped from the waitlist and the next student on the waitlist will be called
This process repeats until the open spot fills up
fa student wishes to drop a course, they must either do so over the phone or in-person
here will be times where course sections are cancelled due to either:
Not having an Instructor available to teach the section, or
the minimum number of students needed to be registered was not met
