Define Project Proposal oject Name: Management and Processes Improvement of Vehicle usages, repairs, Driver's behaviors, and accountability. Business Case Part of the hospital service is to transport the client from one location to another safely and conveniently. It operates in the North, East, West, and South of New York. The company owns 155 fleets, and as the supply chain and logistics manager, I have to monitor the usages and general activities of these vehides manually. Since 2018, the company has lost $500k from expenses, ranging from repairs, fueling, disappearances of vehicles, accidents, insurance claims, roadside towing, and impounding, because of the traditional way of monitoring the vehicles' usage. This has resulted in a 23% increase in operating costs and increased customers' complaints by 10%. Thus, our clients now sought the services of Uber and Lyft, which has factor additional financial burden on the organization. There is an opportunity to enhance the fleet's monitoring and management by employing recent technology, which would help the organization obtain real-time data and enjoy drivers' clean accountability. Problem Statement The company fleet management's current process is archaic, and it is begging for replacement. As the manager in charge, I have to travel all over New York, where the vehicles are housed, collect the vehicles' data, and sometimes ask the divers to fill out their beginning and end mileage sheet. Insurance claims take forever to get settled, as well as accident repairs. The vehicles and its management processes have not been cost-effective for the organization, resulting in increased financial burdens. Every day, approximately 10 vehicles would encounter an accident; 5 of the vehicles would break down in the middle of the road and be towed to impound. The daily output of these vehicles has not improved for the past three years. In the last six months, 30% of our vehicles did their preventive maintenance over 135 days late. The current rate of vehicles that are overdue for preventive maintenance is up to 15%. This affects our current operating cash flow by $300k. Goal Statement This project aims to eliminate manual monitoring of vehicles and fuel usages, reduce cost, and increase vehicle performance efficiency by installing telematics into the vehicles, which will increase the monitoring of the program's vehides by 90%, and reducing expenses by 50% before February 2021, and saved approximately $150k. One vehide's monitoring time is currently averagely 34 minutes since 2018; however, we would like to reduce this time to 10 minutes for efficiency sake.
