Your General Manager at work is named Lily Wong, and she lives at 345 Port Hardy Way, Coquitlam, BC V9T 1B2.

Lily recently learned that the Coquitlam city council is reviewing a proposal to allow the construction of a 30-story apartment building near her house. The council has posted a notice that the public is welcome to present arguments for and against the proposed development at a public hearing on April 20 (see posting below).

Lily hates the idea of a tall tower on her street and wants to talk at the hearing. However, she is very uncomfortable speaking in publicbecause English is her third language (she came to Canada three years ago), but she still feels that she does not speak well.

You are a new Sales Associate at a Kia Motors dealership in Burnaby and want to make a good impression because you have never had a direct conversation with her. You heard in the lunchroom about Lilys problem. You have decided to send Lily a letterwith some tips to help her prepare a short talk based on the information you've learned at BCIT and on the material in Business Communications Essentials.

Write her a letter and suggest how she might prepare to give a five-minute talk to the Coquitlam ciity council, asking them not to proceed with the development. There will be no visuals, no slideshows, and no PowerPoint just a short talk at a microphone in front of an open council. Your letter should be about one or two pages long. Don't tell Lily WHAT to say; tell her HOW she can prepare to present a successful five-minute talk. Do not copy (you can paraphrase). Mention in the letter where you found your information (i.e. textbook name or elsewhere) or provide a link to a webpage for her to do further research. Public Hearing: April 20, 2022

Coquitlam City Council will hold a Public Hearing to consider a zoning variance to accommodate the construction of a 30-story tower consisting of 67 studio, one- and two-bedroom rental units at 340 Port Hardy Way, Coquitlam, BC.

Anyone who considers themselves affected by the proposed zoning change may speak at the Public Hearing.

Please register individually beginning at 8:30 a.m. on April 11 until 5 p.m. on April 13 by emailing publichearing@coquitlam.ca, or by calling 604-899-4232.

Begin with an introduction (who you are and why you're writing), layout your message details, recommend a YouTube video that she might find useful (an imaginary one is fine), include a courteous close, and a signature block with your name, title, and cell phone number (do not include your email as you wish to talk to her or text).

6. Use block letter formatting and follow appropriate conventions outlined in Business Communications Essentials for presenting routine information.

7. Because she will be interested in hearing what you have to say, adopt a direct approach in your letter. Because she is a relatively new permanent resident, use plain English to help her better understand your message. Adopt a "you" attitude and write in an active voice.

8. Use headings, bullets, boxed text, white space, or other design features to help explain your message whenever possible.
